The Dispatch Senior Supervisor assists in managing the Dispatch Department by enforcing policies, ensuring accurate checking of all dispatched items, maintaining housekeeping standards, and reporting any discrepancies. The role ensures all dispatch activities and processes are properly followed.

  • Ensuring goods are checked in the presence of Drivers/ customers with the dispatcher.
  • Ensuring that all goods being dispatched are in good condition, correct quantity and items coincides with the bills to ensure correct goods being dispatched.
  • All invoices/delivery notes must be stamped and signed by the duly authorized persons.
  • Ensuring that company’s rules and regulations are adhered to.
  • Submitting reports and handling discrepancies that cannot be resolved at a junior level and matters that are repetitious.
  • Ensuring that employees do not leave the compound with items that were not billed and signed off by you and relevant authority.
  • Signing off on all packing slips and invoices being dispatched as the final red ink signature where applicable.
  • Reading customer order, work order, or requisition to determine items to be moved, gathered, or distributed.
  • Conveying materials and items from receiving or production areas to the designated area for distribution.
  • Sorting and placing material or items in a safe area for distribution
  • Filling requisition, work order, or request for materials, tools, or other stock items for distribution to drivers or customers.
  • Taking walk-in customers orders, providing a sense of customer satisfaction while attending to the customers.
  • Marking materials with identifying information
  • Opening bales, crates and containers to ensure the correct item and quantity is being dispatched.
  • Recording amounts of materials or items received or distributed.
  • Weighing or counting items for distribution within warehouse to ensure conformance to company standards.
  • Ensuring that trucks and customers dispatching assignments are strategically planned as to ensure all employees achieve an acceptable level of dispatching efficiency.
  • Dispatching specific goods according brand, Item number , description , Catalog number and quantity.
  • Ensuring that all items received from warehouse are checked (correct item, in good condition and correct quantity) and signed off for.
  • Ensuring return items are documented and sent to respective departments for stock or repairs where applicable.
  • Ensure that the customers and security personnel signs off on all documents.
  • Driving of forklift within the guidelines of its usage.
  • Conduct oneself in a manner of professional courtesy, if you are going to be late or not coming for the day, a phone call to the Dispatch Coordinator is mandatory.
  •  To communicate effectively with colleagues, supervisors, managers, other company staff.
  • To be aware and follow all safety guidelines set forth by the company, HSE Officer and/ or Warehouse Coordinator. (Ensuring safety boots, back straps, eye protection are worn at all times).
  • Company Dress Code, in the event one has to deal with customers.
  • Ensure MESL policies and procedures are followed as per the Employee Handbook.
  • Any other related duties as assigned by the Dispatch Coordinator or Warehouse Coordinator.
