This internship is key to enhancing PMO operations by digitalizing and streamlining project management processes, systems, and tools. The intern will directly contribute to robust project governance and efficiency, impacting how technology initiatives are delivered across the organization.
What You Will Be Doing (Core Responsibilities)
This role blends the core support functions of a Project Coordinator with a focus on software development and process digitalization, providing hands-on experience in a dynamic technology environment.
Digitalization & System Development (60%)
- Process Automation:
- Design, develop, and implement solutions to automate the creation and distribution of project status reports, pulling data from various project management tools
- Develop scripts or applications to automate routine administrative support tasks and compliance checks within the project governance framework
- Tool Customization & Integration:
- Customize and configure existing PMO tools (e.g., JIRA, Smartsheet, Microsoft Project) to better fit Group Technology's specific project governance needs and standards
- Develop integrations (using APIs, etc.) between PMO tools and other internal systems (e.g., resource management or finance systems) to ensure efficient allocation and usage tracking
- Documentation & Knowledge Base:
- Support the development of a centralized digital repository for all project documentation, templates, and operational guides with input from PMO team.
- Audit the repository to ensure all project records are up-to-date and accessible and provide outcome reports to Head PMO
Project Support & Enhancement (30%)
- PMO Support:
- Assist building resource allocation matrix and usage across multiple projects, leveraging developed tools for enhanced tracking
- Monitoring & Reporting:
- Refine and maintain the structure of digital trackers for action items, risk logs, and issue logs to improve data quality and enable automated reporting
- Track the adoption and effectiveness of new digital processes and tools, proposing continuous improvements
Collaboration & Stakeholder Communication (10%)
- User Engagement:
- Act as the PMO's primary liaison for internal tool users, gathering feedback, and providing first-level support and advise Head of PMO training feedback on new digital processes and tools based on findings
- Facilitate communication with Head of PMO support and direction between the PMO to ensure developed tools align with project goals, timelines, and deliverables

Education
Bachelor's Degree in Software Development, Computer Science, or a related technical field.
Experience/Skills
Foundational knowledge of software development principles, process mapping, scripting, and database management.
Technical Proficiency
Proficiency in at least one modern programming/scripting language (e.g., Python, JavaScript) and SQL.
Tools
Advanced knowledge of Microsoft Office Suite (Excel), Power BI and familiarity with project management tools like JIRA, Smartsheet, or Microsoft Project.
Competencies
Strong organizational and detail-oriented skills, essential for managing systems and documentation. Proven ability to proactively identify and solve problems related to system functionality or process gaps.
