Service Advisor

Job Summary:

The Service Advisor acts as the liaison between customers and the service department, ensuring a seamless and professional customer experience from check-in to vehicle delivery. In addition to traditional service advisor responsibilities, this role includes administrative functions such as maintaining records, processing paperwork, and supporting the overall efficiency of the department.

Key Areas of Responsibilities:
1. Customer Service & Vehicle Intake
2. Greet customers and conduct thorough check-in of vehicles.
3. Listen to customer concerns and accurately document vehicle issues.
4. Provide service estimates, explain recommended maintenance, and obtain necessary approvals.
5.Clear and precise verbal and written communicate with technicians and customers to ensure timely and accurate vehicle diagnosis.
6. Keep customers informed of service status, changes, and completion timelines.
7. Service Receptionist Duties.

Administrative Duties:

1. Maintain and update service records in the dealership management system.
2. Prepare invoices and process payments for completed work.
3. Track warranty claims, recalls, and parts orders.
4. Assist with scheduling appointments and maintaining service logs.
5. Manage internal documentation including repair orders and customer files.
6. Support service manager with daily reports, time tracking, and compliance documentation.

Coordination & Teamwork:
1. Collaborate with parts department to ensure availability of needed components.
2. Work closely with technicians to prioritize repair orders and meet deadlines.
3. Ensure all service activities comply with dealership policies and manufacturer standards.

Qualifications:
1. Minimum 5 CXC passes, including maths and English, post-secondary education is a plus.
2. Strong administrative and organizational skills.
3. Proficiency with dealership management software is an asset but not a requirement
4. Ability to manage multiple tasks in a fast-paced environment.
5. Experience in automotive service or a customer-facing role would be an asset
6. Flexible work hours and location
