Job Title : PBX OPERATOR/RECEPTIONIST
Department : Administration
Relations : General Manager / Office Manager
Salary: $5000
Contract Position 

JOB PURPOSE
1. The PBX Operator/Receptionist is responsible for ensuring the smooth operations of
the front desk, greeting visitors, answering phone calls, and performing administrative
tasks. They provide a welcoming experience for guests and clients.
2. Complies with the Company’s Food Safety policies and guidelines as well as all Health
Safety and Environmental regulations.


KEY DUTIES AND RESPONSIBILITIES
1. Answer phone calls, take messages, and direct calls to the appropriate personnel.
2. Log all incoming and outgoing calls in the register notebook legibly for easy reference.
3. Maintain an updated internal and external telephone directory.
4. Handle incoming and outgoing mail, packages, and deliveries. Sign security logbook for
receiving all incoming mails.
5. Keep the reception area organised by ensuring that all documents are filed correctly and
easily accessible.
6. Ensure that the reception area is clean, tidy, and welcoming for staff and visitors.
7. Greet visitors, clients, and guests, ensuring they are properly attended to and directed.
8. Perform general clerical duties such as photocopying, faxing, and filing.
9. Inform the relevant department manager or supervisor when staff calls in sick.
10. Receive and distribute all mails from the intercompany messenger bag and ensure the
bag is returned to security personnel by 1:00pm or before the last truck leaves for Feeds
Division, Barrackpore.
11. Time Sheets to be updated each day for “Casual/Daily Paid” employees using
information from their time cards.
12. Monitor and log all leave forms for “Casual/Daily Paid” employees and maintain an
absenteeism spreadsheet.
13. Call container haulers to pick up empty containers from site based on instructions
received.
14. Work with the relevant staff and ministries to complete the annual Food Badge
exercise as directed.
15. Notify the Office Manager if there are any PBX issues and send out emails to other
divisions to inform them.
16. When there is a power outage, make contact firstly with the Grain Terminal manager
or representative to ascertain if it is an internal issue, if it is not then contact T&TEC.
17. Support other departments as needed with administrative tasks.


EXPERIENCES AND QUALIFICATIONS
1. A minimum of five (5) CXC O’level passes which must include Mathematics and
English.
2. Previous experience in a front-office, receptionist, or customer service role is preferred.
3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).


SKILLS AND COMPETENCIES
1. Strong written and verbal communication skills.
2. Must be able to competently interact with clients, staff and executive management in
a professional manner.
3. Ability to work effectively in a team-oriented environment.
4. A highly confidential disposition is necessary.
5. Ability to handle office equipment.
6. A welcoming, patient and polite demeanor.
