EXECUTIVE ADMINISTRATIVE ASSISTANT

JOB SUMMARY

Work involves the performance of office management functions, assisting in strategy and work programme planning and implementation; undertaking follow up activities as required and performing secretarial activities as required for managerial staff.

KNOWLEDGE, SKILLS AND ABILITIES:

  1. Co-ordinate the planning of meetings, workshops and conferences.
  2. Prepare and/or guide the preparation of complex correspondence, spreadsheets, reports, proposals, board notes and other documents utilizing appropriate software.
  3. Undertake follow-up activities regarding the Unit’s work programme and decisions taken at meetings, workshops and conferences and submits progress reports.
  4. Undertake research, conduct analysis and compile data as directed.
  5. Perform office management duties such as:
    • Developing and maintaining file register and filing system in keeping with established procedures.
    • Coordinating the receipt, sorting, recording and distribution of correspondence and other documents.
    • Coordinating travel arrangements for staff.
    • Arranging for equipment/buildings repairs and maintenance.

6.Engage with staff in strategic planning and implementation activities as directed by the Manager.
7.Operate a computer, utilizing word processing and other software, as well as other standard office machines such as scanners, photocopiers and facsimile machines.
8.Perform administrative support duties for the Manager and the Board of Management such as:

    • Reviewing and screening incoming correspondence, making preliminary assessment of its importance and directed as needed;
    • Receiving and screening incoming calls and visitors, determining priority matters and notifying superior accordingly; and
    • Coordinating and managing the superior’s calendar by arranging appointments and engagements.
    • Maintaining confidentiality in the execution of all duties.

9. Perform other related duties as assigned.

 

MINIMUM EXPERIENCE AND TRAINING:

Training as evidenced by the possession of a Bachelor’s Degree in Business Management or its equivalent.
