The Paralegal provides essential legal and administrative support to the Legal Department contributing to the efficient execution of legal processes and the management of sensitive legal matters.

MAIN RESPONSIBILITIES

 The Paralegal plays a pivotal role in supporting Company’s Legal Department by ensuring the timely and accurate execution of legal processes. The incumbent contributes to the quality and efficiency of  legal services, particularly in the areas of litigation support, legal collections and regulatory compliance.  The Paralegal will also assist in identifying and preparing matters for legal action, including but not limited to Petty Civil and High Court proceedings and will support enforcement processes in accordance with company policy and legal standards. The detailed responsibilities are as follows:

 

Legal Support and Case Management 

  • Draft and prepare legal documents including: claim forms, statements of case, applications, affidavits, judgments, execution, registration and re-registration of judgments, memorandum of satisfaction, Notice of Change of Attorney and other legal documents as may be required.
  • Assist in the preparation of legal opinions, contracts and agreements;
  • Manage the High Court and Petty Civil Court Portfolio by analysing and earmarking matters for court action, following up with the various courts to ensure the progress of claims and judgments, preparing and maintaining a log of the High Court and Petty Civil matters and Attorneys’ schedule as well as updating the relevant databases.
  • Attend the various Court and Land Registries as required to support legal proceedings.
  • Liaise with clients and obtain the relevant instructions and supporting documents for legal proceedings.
  • Co-ordinate and monitor the service of legal documents and locate parties for legal proceedings.

 

Research and Due Diligence 

  • Perform due diligence, means and assets and other searches via Companies Registry and Property Business Registration System and similar databases locally and regionally in aid of international debt collections.
  • Conduct legal research as assigned via designated search engines including but not limited to Vlex, Lexis Nexis, Industrial Court Judgment Database, Digital Law Libraries and Court Libraries.
  • Develop and maintain a repository of relevant laws, judgments, contract precedents and other material in areas affecting day to day operations.

 

Reporting and Documentation 

  • Prepare weekly and monthly reports on legal matters and departmental activities.
  • Take notes at, legal proceedings and meetings and prepare summaries or follow-up documents.
  • Ensure all legal matters are accurately updated in the Company’s Credit & Debt Management System (CDMS).

 

Administrative and Confidential Duties

  • Develop and maintain an organized and secure filing system for all legal documents.
  • Handle confidential legal and corporate information with discretion
  • Intercept and manage telephone calls, emails and correspondence on behalf of the Legal Department
  • Liaise with clients, debtor, registries and other stakeholders on behalf of the Legal Department as necessary.
EDUCATION & CERTIFICATION
  • An Associate Degree in Paralegal Studies or Diploma in Law
  •  Background in commercial/debt collection/general civil area of law would be an asset.
EXPERIENCE
  • A minimum of four years’ experience in a similar position
  • Proven proficiency in Computer literacy in MS Office
  • Proven experience and proficiency in conducting legal research
  • Familiarity with the Civil Court Registries, Company Registry, Property Business Registration System and Registrar General’s Department.
