The Order Management and Logistics Officer is responsible for managing the logistics end-to-end order cycle and fulfilment process, ensuring timely and accurate fulfilment of goods to customers.
JOB SUMMARY
The Order Management and Logistics Officer is responsible for managing the logistics end-to-end order cycle and fulfilment process, ensuring timely and accurate fulfilment of goods to customers. This role involves coordination between sales, warehouse, shipping and third-party logistics providers to manage inventory, and tracking shipments. This role plays a key part in maintain operational efficiency, customer satisfaction and alignment across departments.
KEY RESPONSIBILITIES
1. Order Fulfilment & Workflow Management:-
• Monitor customers’ accounts from an AR perspective to ensure that when orders are received, they can be actioned immediately
• Leads the end-to-end order processing cycle, for receipt through fulfilment.
• Ensuring all data is correct and aligns with product availability, pricing, and customer requirements.
• Ensuring precision and adherence to established procedures (making sure quantities, pricing and specifications are correct).
• Coordinates with Finance for order approval and billings.
• Serves as a point of contact for customers regarding order status, delivery updates, and any issues or related changes.
• Verify orders before shipment to reduce errors or returns.
2. Quotation & Invoicing Management
• Prepares and send accurate quotations based on customer requests.
• Review customer purchase orders based on current pricing strategies before order entry.
• Understanding customer order pattern and proactively reach out to customer which includes; taking customer orders via email and telephone.
• Track quotation status and follow-up with customer to convert quotes into orders.
• Keep records of all quotations for future reference.
3. Inventory and logistics Coordination
• Monitor stock levels (Hard cards) and coordinate with inventory control team to ensure products are available to fulfill orders on time and prevent stock-outs.
• Liaise with delivery partners, freight forwarders tracking shipments.
• Resolving any logistics and delivery issues.
• Collaborates with warehouse teams on picking, packing and dispatching orders.
• Inventory Reporting & Analytics which include stock balances summaries, average inventory held and lead time by item category.
• Monitor stock movement (inbound, outbound, returns for authorization).
• Update stakeholders on delay in delivery status.
4. Cross-Functional Collaboration, communication and coordination
• Works closely with warehouse team, logistics, finance and sales to align order fulfilment processes and resolve any operational roadblocks.
• Resolves logistics or inventory issues quickly. (eg. Delays, shortages)
• Review delivery manifesto (tracking) daily and advise stakeholders on any delay in shipment.
5. Any other duties that are deemed necessary.
REQUIRED EDUCATION, EXPERIENCE AND COMPETENCES:
• Bachelor’s degree in Supply Chain Management, Business Administration, Logistics or a related field.
• 2 + years working experience handling similar duties.
• Strong proficiency in Microsoft Word and Excel.

• Maintain clear communication with internal teams and external partners to support business operations.
• The general quality of his/her performance within the scope of the duties and responsibilities that have been assigned.
• Responsible for tracking and maintaining visibility across the entire order-to delivery workflow.
• Ensures inventory levels are monitored and maintained to support uninterrupted order fulfilment.
WORKING CONDITIONS
This role operates primarily indoors, with frequent movement to check on goods and interact with
customers and internal teams.
