The incumbent assists with Quality and Warehouse duties, including maintaining cold chain integrity, monitoring delivery data, managing non-conforming stock, rotating inventory, and correcting stock discrepancies to ensure efficient, compliant operations.

Some Main Responsibilities include: 

  • Ensure all returned coolers are checked daily and refrigerants placed into the freezer/chiller for 72 hours of freezing/chilling and conditioning refrigerants for the stipulated 30-minute period prior to delivery.
  • Conduct monthly check on data loggers – battery life, downloads, settings etc.
  • Review data from cold chain deliveries to ensure that delivery requirements were met, escalating any anomalies detected
  • Collaborate with Warehouse to escalate and/or resolve matters arising from temperature alerts and temperature alert tests.
  • Monitor Non-conforming bins to ensure items are processed within identified timelines.
  • Receive, account for and safely store non-conforming goods in their respective locations.
  • Investigate and report any variances in weekly Non-Conforming Goods reconciliation report.
  • Monthly reconciliation of physical Non-conforming bin locations with electronic (S2K) Non-conforming bin locations.
  • Immediately report and assist in investigating any deviations, losses, or unauthorized movements involving samples, antibiotics, or narcotics.
  • Management of Shipment Anomalies - Process supplier rejected goods (rejected cold-chain products) within established time frames.
  • Collaborate with Receiving Team to ensure proper handling, escalation and management of quality-related receiving anomalies.
  • Conduct monthly inspection of delivery vehicles and collaborate with Quality Staff to resolve matters arising from vehicle inspections.
  • Daily Loss Prevention walkthrough and monthly warehouse inspections with photographic evidence, verifying that all antibiotics and narcotics are stored securely in temperature-appropriate, access-controlled areas in compliance with company policy and regulatory requirements.
  • Support the Regulatory and Quality Teams during audits and inspections related to controlled substances, narcotics, and sample stock.
  • Review expiry rotation report daily, removing products nearing expiry and correct any stock showing out of FEFO rotation.
  • Conduct Bin Integrity activities for medical samples; review Bin Integrity reports for trade stock, investigate and resolve variances.
  • Perform a daily reconciliation of all narcotic and controlled substances in collaboration with the Regulatory Team, ensuring system and physical count alignment and escalating/investigating any discrepancies.
  • Ensure strict segregation of sample stock, antibiotics, and narcotics from trade stock, with clear labeling and secure, access-controlled storage locations to prevent co-mingling or unauthorized access.
  • Manage the picking, preparation, and dispatch of sample, antibiotic, and narcotic orders with full accuracy including photographic and documentation evidence for traceability and verification.
  • Maintain and regularly update chain-of-custody documentation for all movements of samples, antibiotics, and narcotics within the warehouse.
  • Perform other duties that may be required to enhance the operations of the Company.

Qualification, Experience and Requirement: 

  • 5 C.X.C./O’ level passes which must include Mathematics and English
  • Associate’s Degree or Bachelor’s Degree in Management or equivalent discipline
  • Qualifications in Quality and warehousing will be an asset
  • Or relevant combination of training and experience
  • Must provide a valid Police Certificate of Good Character
  • Must be able to work shift
