Operations Assistant

The Operations Assistant supports our daily transaction and treasury activities. The ideal candidate will ensure accurate disbursement processing, maintain proper documentation flow, coordinate communication with internal teams and banking partners and provide reliable support for treasury functions.

DUTIES & RESPONSIBILITIES

Key Responsibilities:

  • Review, assess, and process foreign exchange (FX) applications, ensuring all supporting documents (e.g., C-82 forms, Bills of Lading, wire transfer instructions, invoices, and request letters) are complete, accurate, and compliant with internal policies and regulatory requirements prior to processing.
  • Serve as a primary point of contact for clients, managing queries, providing guidance, and resolving issues. Communicate requirements, timelines, and policy updates clearly to ensure a smooth and efficient client experience.
  • Maintain and update client databases, ensuring all records are accurate and current.
  • Manage annual client renewals by reviewing and analysing client files, collating required information, and following up on outstanding documentation. Conduct financial analysis and AML risk assessments as part of the renewal process.
  • Perform annual repatriation reviews, including analysis of bank statements to verify monthly export activity, validating client-submitted data, and preparing concise summaries of findings.
  • Collaborate with cross-functional teams to facilitate the processing and integration of related data.
  • Prepare and manage reports by accurately capturing and transposing data into Excel and other reporting tools.
  • Issue SWIFT messages for FX transactions, ensuring all payment instructions are accurate and communicated in a timely manner.
  • Perform administrative and operational tasks related to transaction processing as required.

MINIMUM REQUIREMENTS

Bachelor’s degree in Economics, Finance or any other related field and relevant experience in a credit or finance environment.

ABILITY/SKILLS/APTITUDE/JUDGEMENT:

  • Sound analytical skills
  • Strong oral and written communication skills
  • Excellent internal and external customer relations skills
  • Ability to work well in a team environment
  • Competent in Microsoft Excel and Word
  • Ability to function in a fast-paced environment
