JOB RESPONSIBILTY  

Ensuring Digicel facilities including retail stores, warehouse, and operational sites are safe, well-maintained, and compliant with company and regulatory standards, while also overseeing vendor management, fleet operations, and workplace support to provide a functional and professional environment for employees and customers.

 

MAIN DUTIES & REQUIREMENTS

 Facilities Management:

  • Oversee the day-to-day operations of all facilities, ensuring their proper functioning, maintenance, security, cleanliness and compliance with company standards.
  • Coordinate and manage facility projects, including renovations, expansions, and relocations, from planning to execution, ensuring timelines, budgets, and quality standards are met.
  • Supervise external personnel including technicians, maintenance personnel, and support staff that perform maintenance services.

 

Fleet Management:

  • Manage and maintain the company’s fleet of vehicles, including scheduling servicing, repairs, licensing, and insurance.
  • Assist with monitoring vehicle usage and fuel consumption to ensure efficiency and cost-effectiveness.
  • Ensure fleet operations comply with local regulations and company policies.

 

Operations & Support:

  • Ensure that site, retail and vehicle leases are up to date and current (not expired) as well as ensuring that they are paid on time.
  • Maintain inventory and monthly report of office supplies, ensuring adequate stock levels are available to meet business needs.
  • Provide logistical support for company events, relocations, or refurbishments.
  • Oversee access control systems, parking, and building security protocols.
  • Maintain facilities-related records, including leases, warranties, service logs, and vendor contracts.

 

Vendor & Contract Management:

  • Negotiate and manage contracts for facility services, including cleaning, security, and maintenance.
  • Source and procure office supplies, furniture, and equipment, negotiating favorable terms with suppliers.
  • Monitor service providers to ensure compliance with contractual obligations and performance standards.

 

Health, Safety & Compliance:

  • Ensure facilities comply with health, safety, and environmental regulations.
  • Conduct risk assessments and inspections to ensure workplace safety and cleanliness.
  • Support emergency preparedness and business continuity procedures.

 

Stakeholder Engagement:

  • Maintain open and effective communication channels with support teams and management.
  • Collaborate with cross-functional teams, including Sales, Retail, Marketing, Technical, and HR to align facilitates-related functions.
  • Cultivate strong relationships with telecom equipment suppliers, service providers, and other business partners to ensure timely deliveries, competitive pricing, and quality assurance.

 

Any other duties within the scope of the job periodically assigned by the Department Managers.

 

ACADEMIC QUALIFICATIONS AND/OR EXPERIENCE REQUIRED

  • Associate’s degree in Management, Business Administration, or related field
  • CXC passes in Mathematics and English
  • 2–3 years’ experience in facilities or operations management, preferably within a telecom environment
  • Strong knowledge of building systems, maintenance processes, fleet management, and health & safety standards.
  • Must possess a valid Driver’s License and have access to a reliable vehicle.

 

SKILLS/COMPENTENCIES REQUIRED

  • Proficient in MS Office Suite; familiarity with facilities management software is an asse
  • Effective communication with strong interpersonal skills.
  • High level of integrity, accountability, and attention to detail
  • Strong problem-solving and decision-making skills
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Ability to adapt to a dynamic environment.

 

WORKING CONDITIONS

  • Although working hours are 9 to 5 Monday to Friday, the role may entail working outside of these hours and the candidate should be flexible to meet critical deadlines.
