In this role, you will serve as an embedded operational and coordination partner to the Alumni Relations team, providing proactive support across communications, data management, event/program coordination, and targeted research.
OVERVIEW:
KPMG Jamaica has a delivery center named “Jamaica Extended Support Services (JESS)” operating from Kingston, which is contracted to provide back-office support to its member firm KPMG United States (“the Client”).
The Alumni Relations department at KPMG is dedicated to fostering durable bonds between the firm and its more than 100,000 alumni. The primary goal is to cultivate pride and loyalty, ensuring that former and retired partners and employees remain connected to the firm.
JOB SUMMARY:
In this role, you will serve as an embedded operational and coordination partner to the Alumni Relations team, providing proactive support across communications, data management, event/program coordination, and targeted research. You will participate in working sessions to understand program direction and translate broad guidance into structured outputs (e.g., dashboards, calendars, stakeholder-ready alumni lists). While you will report primarily to the JESS Manager, you will also work directly with client team members and exercise judgment in prioritizing requests and handling sensitive, high‑visibility information.
JOB RESPONSIBILITIES
Service Delivery
- Coordinate and manage the internal/external marketing campaign for the “Alumni Boost” program, tracking inputs, timelines, and approvals across contributors to drive engagement.
- Coordinate sensitive alumni outreach programs (e.g., condolence communications, partner retirement recognitions), applying discretion and judgment in handling confidential information and senior‑leader visibility.
- Provide end-to-end coordination for events, meetings, and webcasts by managing logistics, collateral, registration, invitations, and run‑of‑show details; communicate status, risks, and next steps to internal stakeholders.
- Identify alumni for “Spotlight” features and manage the end-to-end content intake process (tracking submissions, follow-ups, and approvals) to meet publication timelines.
- Develop and administer alumni surveys, manage the review process, and synthesize results into clear themes and takeaways tailored to stakeholder needs.
- Conduct internal and external research to identify and validate key alumni (e.g., Bio Books, targeted lists, LinkedIn/external sources), monitor marketplace activity, and source speakers for events; package findings for senior stakeholders.
- Monitor social media channels for alumni-related content and analyze engagement data to identify trends and opportunities; recommend updates for outreach and programming.
- Maintain a centralized alumni program and events calendar by tracking national/local activity, consolidating inputs, and proactively flagging conflicts, deadlines, and dependencies.
- Own the ongoing maintenance and quality control of alumni “Bio Books” and the Retired Partner (RP) Directory by pulling, validating, and reconciling data from multiple sources to ensure accuracy.
- Develop and maintain alumni data views, trackers, and dashboards (e.g., outreach lists, engagement/activity tracking) and provide concise status updates and insights to support decision making.
- Manage work intake across communications, program operations, events, and stakeholder requests by tracking priorities, dependencies, and deadlines; escalate conflicts and risks with proposed options.
- Participate in client working sessions and calls to understand program direction, capture action items, and proactively anticipate coordination needs; ensure follow-through across contributors.
- Administer the team’s internal collaboration site (e.g., Microsoft Teams) and the external-facing KPMG Connect platform, performing regular content updates and maintaining coordination artifacts and reference materials.
- Coordinate the shipping and logistics for "Legacy Flags and Pins" to local offices and programs
- Perform other related Alumni Relations operational and administrative duties as assigned, using judgment to prioritize requests and maintain service quality in a fast-paced, stakeholder-facing environment.
- Actively lead and support continuous improvement initiatives, including automation and procedural enhancements, to drive operational efficiency and consistency.
- Support ad hoc projects and perform any other duties as assigned by your manager.
EDUCATION/EXPERIENCE
- Bachelor's degree in Communications, Marketing, Public Relations, Business Administration or a related field from an accredited college/university
- Minimum of three (3) year relevant work experience in Communications, Marketing, Business Administration, Project/Event Coordination or Public Relations
- Familiarity with generative AI tools (e.g., ChatGPT, Google Gemini) is a plus
- Solid verbal/written communication, problem-solving, analytical, and independent judgement skills to support an environment driven by customer service and teamwork
- Strong problem-solving skills, project management skills, and attention to detail
- Ability to work independently and work well within a team
- Strong organizational and time management skills; ability to adhere to deadlines
- Proficient in Microsoft Office Suite applications including Word, Excel, PowerPoint, and Outlook
SPECIAL CONDITIONS
- JESS uses a hybrid work model, allowing staff to work from home in Jamaica or in the office. Employees must be in the office at least five days per month, with more days possible if required by business needs.
- You are expected to use KPMG-approved Generative AI tools to support your daily work tasks.
- Expected to work in a fast-paced team environment.
- Will be working primarily in a paperless environment and expected to be using information systems for the entire workday to access data or perform activities.
- May be required to work extended hours periodically or on public holidays
