Manage the day-to-day activities of the Technical Director. Assist the Technical Director to strengthen the institutional and governmental policies of the company, while developing relationships with the employees, managers, government, companies and communities in general.

Objective of the Position:

Manage the day-to-day activities of the Technical Director.  Assist the Technical Director to strengthen the institutional and governmental policies of the company, while developing relationships with the employees, managers, government, companies and communities in general. Keep updated and organized company information. Comply with the company's policies and procedures. Provide support to the managerial team, and other factory and administrative staff throughout the company. 

 

Responsibilities:

  • Coordinate and execute all administrative duties for the Technical Director
  • Organize and schedule meetings and keep track of the Technical Director’s agenda.
  • Screen and direct phone calls and emails, properly relaying messages.
  • Manage document workflows, including printing, scanning, faxing, and filing physical and digital copies.
  • Keep the filing system organised and handle document printing and binding as required.
  • Prepare and issue quotations to clients with managerial approval, utilising QuickBooks.
  • Create and efficiently manage quotations, invoices, sales orders, and requisitions.
  • Address general inquiries from customers and the public.
  • Resolve customer issues and complaints promptly, using feedback to improve service.
  • Support customers with post-sale services and follow-up assistance.
  • Ensure all project materials are inspected, prepared, and delivered to customers on time.
  • Provide administrative and secretarial assistance to the technical team as needed.
  • Help with scheduling and coordinating appointments, meetings, and conferences.
  • All other duties assigned

Requirements:

  • 2+ years of experience in Business Administration
  • Bachelors Degree in relevant area or Diploma with 4+ years of experience
  • Proficiency in Microsoft Office tools
  • Proficiency in QuickBooks is preffered
