ASSISTANT PROPERTY MANAGER – ANSA McAL LIMITED
JOB SUMMARY
The Assistant Property Manager supports the day-to-day operations of the property portfolio. The role focuses on tenant relations, lease administration and liaising with the facilities maintenance team as well as reporting to ensure that the portfolio is managed efficiently.
INTERNAL RELATIONSHIPS
Liaises with managers and staff at all levels as necessary.
EXTERNAL RELATIONSHIPS
Liaises with tenants, contractors, service providers and suppliers when required.
PRINCIPAL DUTIES
Conduct routine site visits to all properties (at least monthly) to assess condition and report accordingly.
Assist in maximizing rental income by:
Monitoring vacancies and assisting with basic marketing of available spaces.
Supporting tenant sourcing and lease renewals.
Draft and prepare Lease agreements and renewals for review by the General Manager.
Assist in resolving tenant queries and concerns in a timely manner.
Liaise with facilities teams to coordinate day-to-day repairs, ongoing maintenance and security measures wherever communication to the tenant is required.
Identifies property shortfalls and formulate suggestions to management appropriate action plans for correction.
Communicate with tenant regarding lease agreements, addressing inquiries and resolving issues within the managed properties.
Liaise with Facilities Management team concerning day-to-day repairs, ongoing maintenance, security measures, and overall upkeep of the properties.
Prepare property reports for presentation as needed.
Performs any other related duties required within the scope of the role.
QUALIFICATIONS AND EXPERIENCE
Minimum: Diploma or Associate. Degree in Business Administration, Property/Facilities Management or a related field.
Two (2) years’ experience in the field of property maintenance and management and/or Lease administration.
Experience working with tenants is desirable.
KNOWLEDGE AND SKILLS
Proficiency in Microsoft Office Suite.
Strong communication and interpersonal skills
Good organizational and time management skills
Ability to draft and review simple lease and property-related documents.
Report writing and basic analytical skills.
