Duties and Responsibilities:
Receiving, Shipping, Dispatch & Logistics
- Plan, coordinate, and control receiving, picking, packing, dispatch, and delivery operations to meet service levels, deadlines, and regulatory standards.
- Ensure accurate, safe, and timely order fulfillment in line with SOPs and distribution requirements.
- Manage bonded warehouse operations in full compliance with customs, regulatory, and duty requirements.
- Oversee cold chain storage, handling, and transport processes, ensuring full SOP compliance and temperature integrity.
- Manage delivery fleet operations, route planning, and dispatch schedules for timely and efficient distribution.
- Oversee container management and timely return to avoid demurrage costs.
- Implement controls to reduce picking, dispatch, and documentation errors.
- Responding with urgency to issues affecting the delivery and movement of warehouse material to the production lines, ensuring maximum efficiency in the picking, shipping, checking and transfer of product.
- Adhering to stipulated procedures for damaged products and discrepancies.
- Overseeing the planning, delivery, dispatch and monitoring of all local and overseas orders to ensure timely and accurate fulfillment of orders.
- Creating, adopting, publishing and enforcing vendor compliance procedures, and acquiring written acknowledgement of agreement from vendors.
Inventory Control, Replenishment & Returns:
- Co-ordinating and processing all Stock Adjustments requested of the Warehouse. This is inclusive of, but not exclusive to, picking and receiving of all goods for Loans, Samples, Promotions, Banding, Testers, etc.
- Overseeing the allocation of products and proper stock rotation in the warehouse to ensure efficiency in the picking process. This may include but is not limited to ensuring:
- Accurate system transactions and stock integrity
- Proper identification, labeling, and storage.
- Expiry management and waste reduction.
- Capacity planning and space optimization.
- Maintain tight control of stock variances, shrinkage, and pilferage, with clear loss-prevention procedures, audits, and accountability systems.
- Implement and monitor anti-theft, misappropriation, and fraud prevention controls.
- Overseeing the handing in of delivery logs from contractors.
- Processing credits as required for the various warehouses.
- Dealing with contractors’ issues as they may arise.
- Co-ordinating the return of goods back to named suppliers in the event of damage or expiration.
Quality, Compliance & Administration:
- The overall responsibility for ensuring that the team is kept up to date with applicable import and duty regulations and bonded warehouse best practices.
- Manage the Quality Management System for the Warehouse.
- Ensure compliance with Pharmaceutical and Distributor standards, Customs and bonded warehouse regulations and Import/export and duty requirements.
Safety, Security & risk Management:
- Implement site security controls, access management, and physical security systems.
- Actively manage operational risk across logistics, storage, security, and compliance.
- Support the security and operation of the Warehouses with the punctual opening of the Warehouses and ensuring they are locked and secured before leaving.
- Respond to and resolve any equipment or building issues that arise outside of normal working hours.
- Ensure the accurate functioning and maintenance of all equipment (freezers, Forklifts etc.) used in the Warehouses.
- Participate in Health & Safety Committee meetings and initiatives and executing all relevant safety requirements.
- Maintain company Health & Safety standards and practices and adhere to the Health & Safety at Work Act (SHAW) at all times. Building is consistently monitored to ensure the integrity of the building and its surroundings are safely maintained; risk assessments are completed as needed.
- Warehouse and surrounding areas of property are to be clean, tidy and orderly; all aspects of the Safety & Health at Work Act have been adhered to at all times and the health, safety and welfare of the personnel in the Warehouse has been made a priority.
- You will be an essential member of the Company’s Disaster & Emergency Management team, and as such will be on call as needed, and required to respond and participate in the resolution of all emergency matters whether during, or outside of normal working hours.
People & Performance Management:
- Lead workforce planning, scheduling, overtime control, absenteeism management, discipline, and grievance handling.
- Recruit, train, coach, appraise, and develop high-performing teams.
- Implement structured cross-training and succession planning.
- Drive engagement, accountability, and performance culture.
- Create and manage warehouse incentive and performance programmes.
- Reviewing daily key performance indicators (KPI’s), to include but not limited to on-time order fulfillment, pick completion volume, overtime management, effective task assignment and communication between all relevant departments.
- Driving a culture that is focused on continuous improvement, positive morale and exceptional levels of customer service.
- Ensure the effective implementation and regular auditing of policies and procedures to mitigate risks related to misappropriation and theft, while promoting the efficient and compliant functioning of the Warehouse.
- Knowledge of The Employment Rights Act and other relevant labour legislation and collective agreements to allow for prudent decisions to be made in respect to employee’s rights, disciplinary and grievance matters, and company policies.
- Attend and participate meaningfully in training sessions and meetings as required. Maintain up to date knowledge of all Warehouse best practices, customs procedures and regulations.
General Duties:
- Lead the implementation, optimization, and governance of all current and future Warehouse Management System (WMS).
- Drive digitization, automation, and process efficiency initiatives.
- Ensure data integrity, reporting accuracy, and operational visibility.
- Operate pickers, pallet trucks and other machinery when required.
- Maintain the security of the Company’s property and act in a responsible manner with any items (which may include keys, phones, MHE, vehicles etc.) or materials issued to you by the Company according to Company standards.
Requirements:
- A bachelor’s degree or higher in Distribution, Logistics, Business Management, or a related discipline.
- At least five (5) years’ senior level experience in Warehouse Operations.
- Experience in Customs and Brokerage procedures and laws.
- Proficiency in Microsoft Office Suite.
- Knowledge of technology and information systems used in Warehousing.
- Excellent communication skills, both written and verbal.
- Excellent leadership, interpersonal and organizational skills.
- Excellent problem solving and decision-making skills.
- Ability to effectively analyze and resolve complex workforce, procedural and systematic issues.
- Proven ability to execute change management successfully.
