The Warehouse & Logistics Coordinator is responsible for the accurate receiving, storage, dispatch & documentation of equipment & facility-related items. This role also involves tracking inbound shipments, timely dispatch & reconciliation of items. The position requires the operation of a forklift.

Position:                                 Warehouse & Logistics Coordinator (Caroni)

 

Reporting Relationship:      

This position reports directly to the Construction Manager and works closely with the Services Manager and the Facilities/Equipment teams to support operational needs and coordination.

 

Summary:                             

The Warehouse & Logistics Coordinator is responsible for the accurate receiving, storage, dispatch, and documentation of equipment and facility-related items for all brands. This role also involves tracking inbound shipments, maintaining warehouse accuracy and safety, and ensuring timely dispatch and reconciliation of items. The position requires the operation of a forklift and strict adherence to company policies and procedures.

                                               

Duties and Responsibilities:

  • Receives equipment, furniture, materials, and facility-related items into the warehouse. Verifies delivery documents and inspect items for quantity, quality, and damages.
  • Accurately log incoming goods using Excel or an approved Warehouse Management System (WMS).
  • Tracks and follow up on inbound shipments (local and international), coordinating with Purchasing and Logistics teams to ensure timely delivery.
  • Dispatches items based on approved internal requests or schedules. Ensures proper picking, packing, documentation, and proof of delivery.
  • Stores items according to designated zones, with clear labelling and location tracking to prevent damage and misplacement.
  • Conducts monthly physical inventory counts and reconcile any discrepancies with system records.
  • Coordinates with the Equipment Team to classify returned items from sites as Functional, Parts, or Disposal. Tag and update records accordingly.
  • Arranges disposal of obsolete or damaged items with the Procurement Team. Facilitates site visits for auction evaluations and disposal inspections.
  • Safely operate a forklift to move, load, and unload materials. Performs daily pre-operational safety checklists.
  • Maintains cleanliness and organization of the warehouse. Ensures aisles, emergency exits, and equipment zones remain safe and accessible.
  • Reports damages, losses, safety hazards, or irregularities to the appropriate departments in a timely manner.
  • Supports emergency dispatches, audits, relocations, and other special projects as directed by management.
  • Prepares and submit weekly activity reports detailing shipments, inventory movements, equipment returns, and discrepancies.

  • Technical Skills – Proficiency in Microsoft Office (Excel, Word) and familiarity with warehouse systems

Qualifications and Experience Requirement:

  • Minimum of 5 CXC passes including Mathematics and English
  • At least two (2) years of relevant experience in warehousing or logistics, preferably handling equipment or facility items
  • Proficiency with Microsoft Office and warehouse or inventory tracking systems
  • Valid forklift license and experience in safe forklift operation
  • Experience in tracking and following up on international and local shipments
  • Certificate of Good Character
  • Additional certifications in warehousing or logistics (e.g., APICS, supply chain) would be an asset
