VIRTUAL ASSISTANT ANALYSTS 

Virtual Assistant will ensure the smooth-running of the office, working both on a one-to-one basis with the Managing Director, but also on a wider basis with internal and external clients. 

DUTIES AND RESPONSIBILITIES: 

  • Acting as the point of contact between the Management and Supervisor team and internal or external colleagues, suppliers etc.
  • Managing and scheduling all meetings and activities, social or otherwise for Management team.
  • Using various software, including word processing, spreadsheets, databases, and presentation software to prepare reports, presentations, memos, customer notifications, invitations, and other documents.
  • Answering phones and routing calls to the correct persons or taking messages.
  • Help prepares for meetings. (Sales or other meetings)
  • Accurately recording minutes from meetings and disbursing to relevant persons
  • Reading and analysing incoming memos, submissions, and distributing them as needed.
  • Provide general administrative support.
  • Maintaining the current filing and database system and looking for ways to improve current systems.
  • Managing and processing DocuSign requests.
  • Arranging domestic and international travel.
  • Producing and formatting documents in line with firm standards.
  • Rasing invoices and supporting billing processes
  • Competing additional administrative tasks as requested via the centralized support portal. 

QUALIFICATIONS AND EXPERIENCE: 

  • Pursuing a Business Management Degree or any other relevant business qualification.
  • 1 to 2 years’ experience in an Administrative environment.
  • Proficient in Microsoft Office Suite – Outlook, Excel, PowerPoint, Word (Intermediate to Advance Level).
  • Must be able to properly format documents.
  • Administrative professional certification would be an asset.
  • Experience in the Food and Beverage industry would be an asset.

  • Ability to work in a team-oriented environment.
  • Ability to work independently in a time sensitive environment.
  • Must possess sound decision-making skills and multi-task while working in an environment of stress with specific deadlines.

  • Ability to communicate clearly, timely and accurately.
