The Corporate Secretarial Trainee is responsible for providing support to the Associate and Senior in the Department.

The Corporate Secretarial Trainee is responsible for providing support to the Associate and Senior in the Department.

Main Responsibilities

  • Maintaining of physical client files and other routine administrative duties for the department, which include but are not limited to scanning, filing, updating departmental logs;
  • Be familiar with the legislation that the Corporate Secretarial department refers to, such as Companies Act 1995, Bankruptcy and Insolvency Act, Business Names Act, Financial Intelligence Unit Act, etc.
  • Drafting of relevant documents required for filing at Companies Registry to be reviewed by Senior Personnel
  • Using the CROS platform, ensure that information is accurate and if not lodge necessary help desk tickets with Companies Registry
  • With the necessary guidance, preparing CROS registrations for individual and companies
  • With the necessary guidance, use of OPR system to update documents and enter information.
  • Assisting with any client related banking requirements and liaising with respective banks on those matters
  • Maintaining KYC information on client files, and liaising with clients on required documents needed
  • Liaising with clients on company secretarial procedures and due diligence requirements
  • Preparing of letters and other communication for clients and other external parties (banks, Government departments, etc.)
  • Liaising with Commissioner of Affidavits when necessary for signing of documents
  • Maintaining of Company Seals in alphabetical order and ensuring that the log is up to date
  • Liaising with Companies Registry on the status of filings submitted and other procedural requirements
  • Ordering of Company Seals and stamps when required
  • Attending internal/client meetings and preparing minutes for said meetings, when required
  • Visiting Companies Registry to conduct business if/when required
  • Liaising with clients, in person, via telephone or emails when required
  • Timely submission of Timesheets to Senior Manager for review, and ensuring all internal requests (training, confirmations are done by the stipulated deadline
  • Assists Senior Personnel when required;
  • Any other requests deemed necessary by the Senior Manger 

Education/qualifications

  • At least 5 CXC/CSEC/A Level Subjects, including English Language and Mathematics;
  • Excellent writing and speaking skills, office etiquette, procedures and practices.
  • Proficient typing skills.
  • Proficient in Microsoft Word, Excel and Outlook
  • At least 1 – 2 years’ experience in a professional services environment or equivalent (preferably company secretarial)
  • Pursing/completed a Tertiary level education in business or related qualification
  • If pursuing/completed qualification with the Corporate Governance Institute (formerly ICSA), this would be considered favourable.
