The Time & Cost Assistant is responsible for providing project administrative, cost, document and timesheet management support to the project team.

Overview / Responsibilites

Massy Wood is currently recruiting for a Time & Cost Assistant with extensive experience in the oil and gas industry.

The Time & Cost Assistant is responsible for providing project administrative, cost, document and timesheet management support to the project team.

  • Responsible for inputting timesheets for all crew members for payroll and invoicing purposes.
  • Support variance analysis: verify/validate timekeeping data submitted each pay period.
  • Assist with project costing and timesheet management.
  • Recommend improvements to timekeeping and cost tracking processes.
  • Be able to operate at a proficient level in Mpower.
  • Set up and maintain administration filing systems to keep manual timesheet records and GRNs.
  • Liaise with Suppliers on invoices and additional documents required to support acceptance and generation of a GRN.
  • Understand and use the MAXIMO system as required, including but not limited to generating purchase requisitions and tracking purchase order status.
  • Coordinate and facilitate the flow of information within the department and across other departments as required.
  • Liaise with internal and external contacts to resolve issues / challenges wrt time entry or GRNs.
  • Assist with formatting reports, presentations, letters, and any other required documents.
  • Support digital transformation initiatives: Set up and maintain administration filing systems.
  • Perform all other related job functions as required.

 

Qualifications

  • Diploma or certification in Finance, Business Administration, or a related field from a recognised university or equivalent.
  • At least two (2) years’ experience in an administrative or similar role.
  • Experience in the oil & gas industry would be considered an asset.
  • Strong working knowledge of Microsoft Office software including Word, Excel, PowerPoint and Outlook.
  • Awareness of the project environment.
  • Strong verbal and written communication skills.
  • Ability to work with minimal supervision.
  • Ability to work in a Team environment.
  • Ability to work to tight deadlines.
  • Ability to work well with external and internal customers.
  • Valid Certificate of Good Character (must not be older than 6 months).
  • Preference will be given to national citizens or permanent residents of Trinidad & Tobago.
