The incumbent is responsible for facilitating telephone communications between the management, staff and customers and other publics in a pleasant, efficient and effective manner.

DUTIES AND RESPONSIBILITIES

  • Manage all incoming and outgoing telephone calls via the switchboard, ensuring calls are directed appropriately. Log all outgoing calls for record-keeping purposes.
  • Maintain an organized filing system for all incoming courier deliveries and overseas telephone call records.
  • Sort, file, and maintain the security copies of CGA invoices and related log sheets in a secure and systematic manner.
  • Regularly update the internal telephone directory
  • Take orders for meal.
  • Administrative Duties
  • Receive, open, and date-stamp all incoming mail; sort and distribute correspondence to the appropriate departments promptly.
  • Greet all visitors professionally, verify authorization, and manage the entry and exit of all personnel in accordance with CGA’s access control procedures.
  • Monitor postage supplies, maintain an adequate float for purchasing stamps, and log all outgoing mail accurately for dispatch.
  • Maintain a detailed log of all cheques leaving the compound, noting recipient details and time of release.
  • Ensure that all cheques leaving CGA are properly signed for in the designated register provided by Accounts Payable.
  • Email a comprehensive list of outgoing cheques each evening to the Accounting Assistant and FPS for tracking and reconciliation.
  • Performs other related tasks and responsibilities as required by the CFO and or Financial Planning Supervisor
  • Conforms to all established departmental & company policies, procedures & objectives, fulfils the requirements of CGA Ltd.’s SQF Program including but not limited to GMPs, PPE, HACCP, food safety & HSE site protocols.
  • Undergo any job-related training required by the company;

KNOWLEDGE, SKILLS AND EXPERIENCE:

  • Administrative Professional Certificate
  • Five (5) CXC Ordinary level passes
  • 2-3 years’ experience in a customer service environment
  • Proficient in using Microsoft Office
  • Computer Literate
