The Sector Executive Assistant delivers efficient executive support by coordinating tasks for seamless operations, including deck creation, audits, and stakeholder communication. The role ensures compliance with ANSA McAL policies through timely legal filings and organized audit documentation.

Job Summary

The Sector Executive Assistant provides efficient executive support within the Sector by coordinating and facilitating various tasks to ensure seamless operations, including Business Unit deck creation, audit-related tasks and maintaining effective communication with key stakeholders. The role must support compliance with ANSA McAL Group policies and procedures with timely and accurate legal filings and the efficient organization of audit documentation.

Key Responsibilities

  1. Provide support to executives in the Sector ensuring alignment with the needs of the Sector, contributing to the overall success of executive functions.
  2. Prepare and coordinate the submission of monthly BU decks to GMs and Sectorial Team for business decision-making facilitating effective business discussions and decision-making.
  3. Administer and ensure corporate governance and annual filings are complete ensuring compliance with corporate governance standards and timely annual filings without fees, contributing to the organization’s legal adherence.
  4. Compile, collate, and arrange audit committee documents, including papers, minutes, RAID trackers, and risk assessment matrices producing complete, organized, and timely documentation for quarterly Audit Committee meetings and decision making.
  5. Support the coordination of various administrative functions such as travel arrangements, townhalls, events, facility management, and vehicle maintenance, as assigned, ensuring smooth and well-documented operations, effective townhalls, and maintaining well-organized facilities and vehicles.
  6. Prepare purchase requisitions as instructed, generating accurate and timely purchase orders, facilitating streamlined procurement processes.
  7. Perform other relevant duties assigned by management to optimize administrative efficiency and support overall business operations.

Minimum Qualifications and Experience

Education & Training:
• Specialized training in office administration, secretarial studies, or a related field OR equivalent combination of academic and work experience.
• Experience with general business operations and information requirements.
• Sound grasp of business principles and techniques of administration, organization, and management.


Technological Proficiency:
• Microsoft Office Suite, Microsoft D365, Microsoft Power BI & SAP.


Experience:
• At least two (2) years’ experience in a related field, with increasing responsibilities for management, use, and support of reporting systems.
