Job Description:
- Answer all incoming calls by the third ring whether or not it is at your desk.
- Take a message on behalf of co- workers when required and ensure messages are delivered to the appropriate person within one hour of receipt.
- Ensure the In and Out Register is signed when leaving and entering the department daily for accountability.
- Ensure all visitors and employee registers are posted daily on clipboards.
- File all daily registers in date order. Ensure Ansa McAl HR attendance is collected weekly.
- Ensure all visitors and contractors visiting Tatil floors, sign in the respectful registers.
- Ensure the Receptionist Standard Operating Procedure (SOP) is updated with all changes implemented to Reception area.
- Ensure external couriers are directed accurately to the appropriate drop box.
- All incoming mail by external Couriers must be received and securely placed in Mail drawer at reception.
- Ensure Couriers sign the Mail delivery book. They must accurately/ legibly log all envelopes of which must be reviewed to ensure accuracy.
- Ensure mail is collected by Admin Office assistant hourly.
- Immediately report any discrepancies in collection to line management.
- Urgent and prompt communication required for cheques, mail marked urgent, Central Bank, and MD’s Office. These collections must be communicated promptly to the Admin Department.
- All incoming cheques and packages for distribution vi reception must be logged by receptionist.
- Carefully check all cheques and packages before being issued to clients.
- Immediately communicate any discrepancies to line management.
Education and Experience Requirements:
- 5 Ordinary Level passes including Mathematics and English.
- 3-5 years of related experience.
- Think quickly and communicate orally with a variety of callers.
- Must be able to handle a high volume of calls.
- Able to multitask and still provide a high level of service.
- Must be able to effectively communicate.
- Applications should have clear speech, good hearing, and strong reading, spelling, and numerical skills.
