Role Objective

The primary objective of the role of Receptionist is the provision of courteous, efficient and effective telephone answering, client reception and administrative support to ensure the smooth operation of the Organisation.

Summary of Main Duties and Responsibilities

  • Answer the telephone courteously and promptly.
  • Answer, screen and direct incoming calls appropriately.
  • Greet clients and visitors in a professional manner and contact the appropriate person or Officer being called upon.
  • Provide refreshments for clients attending meetings as needed.
  • Ensure that the conference rooms and reception area are kept clean and tidy.
  • Take messages, share messages and take appropriate actions as required.
  • Maintain office supplies inventory and place orders as needed.
  • Receive and forward incoming emails to the relevant individual as required.
  • Handle incoming and outgoing mail, deliveries, and courier services.
  • Record outgoing mail.
  • Obtain signatures from individuals collecting outgoing mail.
  • Prepare documents to be sent by courier and enter documents into the computerized system.
  • Maintain courier files.
  • Track courier packages to ensure delivery.
  • Make photocopies of documents as required.
  • Manage meeting rooms bookings to avoid conflict.
  • Provide administrative support as needed.
  • Any other relevant duties assigned by management.

Requirements

  • Four CXC certificates or equivalent level qualifications including English, typewriting and Office Procedures.
  • Competence in MS-Office Suite
  • Ability to use a multi-line switchboard.
  • Excellent communication skills: both oral and written.
  • A courteous, friendly, and pleasant demenour.
  • Professionalism, dependability and reliability.
  • Good interpersonal skills.
