Main Purpose of Job

The Quality Assurance (QA) Officer plays a critical role in embedding quality within all academic and administrative processes at the Business School. This role is responsible for ensuring that quality standards are integrated into each process through systematic audits and continuous monitoring. The Officer works closely with departments to uphold the School’s Quality Management System (QMS), supports compliance with national and international accreditation standards, and supplies data-driven insights for ongoing improvements. By fostering a culture of excellence in teaching, learning, research, and operations, the QA Officer ensures that institutional objectives are achieved effectively and sustainably

Main Responsibilities

Quality Management

  • Assume responsibility for quality control through quality audits.
  • Schedule and meet with all members of the Quality Committee to define processes, ensuring that quality measures are built into the processes to ensure Unit objectives are met.
  • Ensure compliance with all School processes through trimester audits.
  • Prepare audit reports and recommend quality improvements and enhancements.
  • Assist with the project to migrate and maintain the QMS in the online environment.
  • Assist with the maintenance of institutional quality.
  • Design and administer academic and student feedback surveys (e.g., course evaluations).
  • Analyze performance metrics, graduate tracer studies, and employability data.
  • Prepare data reports for strategic planning, ranking submissions, and institutional benchmarking.
  • Track KPIs for programme effectiveness and institutional performance.

 

Academic Standards & Policy Development

  • Develop and maintain institutional QA policies and procedures aligned with national and international standards (e.g., ACTT, AACSB, AMBA).
  • Coordinate periodic programme reviews and audits.
  • Monitor curriculum quality and alignment with programme learning outcomes.
  • Evaluate and support assessment practices and academic integrity.
  • Identify academic and operational risks related to quality and compliance.
  • Support the development and revision of academic policies and procedures.

 

Accreditation & Compliance

  • Lend support as required to the Accreditation and Quality Enhancement Centre in Self-Assessment exercises prior to cyclical quality assurance reviews and accreditation exercises.
  • Collaborate with the OJTs to collect, print, and collate all accreditation/audit documentation (appendices, base room documents).
  • Support institutional and programme-level accreditation processes.
    Maintain documentation for regulatory and accrediting bodies.
  • Prepare reports and evidence for submission to accrediting agencies.
  • Coordinate responses to audit and accreditation recommendations.

 

Stakeholder Engagement & Training

  • Work with faculty and staff to promote quality standards and best practices.
  • Conduct quality assurance awareness sessions and workshops.
  • Provide support to academic boards and QA committees.

 

Document & Records Management

  • Assist with the management of the creation, storage, retrieval, and disposal of all documentation relating to quality and accreditation.
  • Support the activities that follow the receipt of reports of Review Teams.

 

Other Duties

  • Assist with the development of the CRM project.
  • Serve as the Programme Coordinator for the Post Graduate Certificate in Authentic Business Education.
  • Perform any other duties that are required in order to address quality throughout the organization.

Key Competencies/Skills

 

  • Knowledge of quality audits and management would be an asset.
  • Minimum Intermediate proficiency in MS Office.

Formal Education (Minimum required for position to work well )

  • Bachelor’s degree in Education, Quality Management, Business Administration, or a related field (Master’s preferred).
  • At least 3–5 years of experience in quality assurance, institutional research, academic planning, or accreditation.
  • Familiarity with higher education quality frameworks (e.g., ACTT, AACSB, EQUIS).
  • Experience in data analysis and report writing

 

Desirable:

  • Experience in a business school or academic institution
  • Proficiency in quality management systems (QMS)
  • Knowledge of learning management systems (LMS) and institutional planning tools
