Project Officer

Job Purpose:

To provide administrative, coordination, and technical support to ensure the effective planning, implementation, monitoring, and completion of projects within scope, budget, and timeline. The Project Officer serves as a key link between the project team and stakeholders, ensuring project activities are well-executed and documented.

Key Responsibilities:

Project Planning and Coordination:

  • Assist in developing project work plans, schedules, and budgets.
  • Coordinate internal and external resources for the smooth execution of project tasks.
  • Support stakeholder engagement and communication activities.

Monitoring and Reporting:

  • Track project progress using tools such as Gantt charts, status reports, or dashboards.
  • Prepare and maintain accurate project documentation including minutes, progress reports, and logs.
  • Identify and report on risks, issues, or delays and assist in developing mitigation strategies.

Administrative and Logistical Support:

  • Organize and attend project meetings, workshops, and field visits.
  • Support procurement and contract management processes, ensuring timely delivery of goods and services.
  • Maintain an organized digital and physical filing system for all project-related materials.

Financial Support:

  • Assist with budgeting, tracking expenditures, and ensuring compliance with financial procedures.
  • Help prepare financial reports and documentation required for audits or donor reporting.

Compliance and Quality Assurance:

  • Ensure that project activities are implemented in line with organizational policies and relevant standards.
  • Monitor adherence to timelines, deliverables, and quality benchmarks.

Requirements:

Education & Experience:

  • Bachelor’s degree in Project Management, or a related field.
  • At least 2–3 years of experience in project coordination or administrative support, preferably in a similar sector or organization.
  • Certification in project management (PMP, or equivalent) is an advantage.

Skills & Competencies:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and project management software (e.g., MS Project).
  • Analytical mindset with attention to detail.
  • Ability to work both independently and collaboratively in a fast-paced environment.

Working Conditions:

  • Office-based with occasional travel to project sites.
  • May require occasional weekend work to meet project deadlines.
