About the Role

We are seeking a PMO Coordinator to support executive leadership while coordinating project governance and reporting across our IT and Project Management Office (PMO) functions. This role is ideal for a highly organized professional who enjoys working at the centre of multiple initiatives and ensuring follow‑through, structure, and visibility.

The PMO Coordinator plays a key role in tracking actions, coordinating meetings, maintaining project and governance documentation, and supporting budget and expense reporting. The role does not manage projects or deliver technical work, but ensures that projects and initiatives stay organized and on track.

Key Responsibilities

  • Provide executive administrative and coordination support to the CIO/CTO
  • Prepare meeting agendas, minutes, briefing materials, and action trackers
  • Track executive and project action items and follow up on completion
  • Maintain project trackers, RAID logs, milestone schedules, and status reports
  • Collect and consolidate updates from project owners for portfolio reporting
  • Support governance meetings, steering committees, and project reviews
  • Ensure project documentation is accurate, current, and properly filed
  • Coordinate IT initiatives, implementation activities, and vendor engagements
  • Maintain IT and project implementation trackers and issue logs (e.g. ClickUp)
  • Assist with departmental budget preparation, expense tracking, and variance reporting
  • Coordinate communication between IT, PMO, Finance, vendors, and business stakeholders

What We’re Looking For

Skills & Competencies

  • Excellent organizational and follow‑up skills with strong attention to detail
  • Ability to manage multiple priorities and deadlines simultaneously
  • Strong written and verbal communication skills
  • Good understanding of project coordination and governance processes
  • Strong spreadsheet and reporting capability, especially for budgets and expenses
  • Comfortable working with both technical and non‑technical stakeholders

Qualifications & Experience

  • Diploma or degree in Business Administration, Project Management, Information Systems, Accounting support, or a related field
  • 2–5 years’ experience in PMO support, project coordination, executive support, or IT/departmental administration
  • Experience supporting managers or executives in structured, deadline‑driven environments
  • Strong Microsoft 365 skills (Excel, Word, PowerPoint, Outlook, Teams)
  • Experience using project or task management tools such as ClickUp, Planner, Jira, MS Project, or similar is an asset
