Project Coordinator Location: Kingston/St. Andrew Please note that this is an in-office/onsite role and is not eligible for remote work Type: Full-Time

The Project Coordinator provides essential support to project managers and teams by organizing tasks, maintaining documentation, coordinating resources, managing communication with stakeholders, preparing detailed reports, tracking resources, assisting with accountability for actions items and monitoring project schedules and budgets to ensure project goals are met on time and within scope.

Key Responsibilities:

Project Coordination

  • Supporting Project Managers in creating and maintaining project plans, project schedules, project scope statements and timelines
  • Coordinate the allocation of project resources to ensure project department has what’s needed at the right time
  • Coordinate interdepartmental communication and follow-ups to ensure project dependencies are met

Monitoring

  • Track progress of projects against plans, flagging potential risk or deviations for escalation
  • Support team members with the implementation of risk management strategies
  • Quality Assurance - monitoring adherence to project deadlines and quality standards

Project Administration

  • Execute project management administrative tasks such as managing invoices, purchase orders, inventory reports and other financial documents
  • Schedule stakeholder meetings (timekeeping), document and generate other relevant reports
  • Collect, validate, and reconcile project timesheets for accuracy and billing readiness.
  • Prepare quarterly billing summaries and assist the finance team with invoice generation

Reporting, Communication & Documentation

  • Serve as a point of communication between company teams and external resources ensuring clear and timely communication across teams
  • Deepen partnerships with external resources, including third-party vendors and researchers
  • Preparing and distributing project status reports
  • Maintain accurate documentation of deliverables, change requests, and project updates.
  • Create and update Statement Of Work 

Strategic and Operational Support

  • Track progress on operational goals and strategic initiatives assigned to the PMO.
  • Monitor and maintain the Project Director’s calendars and meetings.
  • Assist in preparing executive updates, board reports, and performance summaries.
  • Ensure all project and financial activities align with ICSL’s strategic delivery objectives.

Knowledge, Skills and Abilities

  • Communication: Strong written, verbal, and presentation skills. Demonstrate excellent communication skills to interact with stakeholders throughout project lifecycle, such as project managers, sponsors, internal & external project team.
  • Change Management: Adaptability to changes and adjustments throughout project lifecycle.
  • Organizational: Time management, delegation, planning, goal setting and decision making.
  • Problem Solving: Excellent analytical and problem-solving skills that allow for a quick generation of solutions and strategies.
  • Team Management & Leadership: To be able to provide guidance, feedback, and encouragement for achieving goals.
Qualifications
  • Bachelor’s degree in business administration, Management Studies, Project Management or a related field
  • 2 – 3 years of experience in project coordination, project support or similar roles
  • Project management certifications would be of advantage (CAPM, PMP or similar)
  • Proficiency with Microsoft Office Suite
  • Working knowledge of project management tools/ software
