The Production Administrator is responsible for providing all Administrative Support to the Production Supervisor to ensure daily tasks and functions are completed within a timely and efficient manner.

KEY RESPONSIBILITIES

1)      Ordering of all Raw Materials inclusive of Product additives based on demand and lead times-

  • Liaising with suppliers regarding collection, delivery and product information
  • Scheduling/organise for receiving of certain raw materials such as alcohol with necessary/proper documentation.  

2)      Monitoring and ordering all Consumables within a timely manner based on demand and lead times.

3)       Compiling and recording  of all of the following -

  • Calculating/ reporting  losses daily using flow meter readings.
  • Observing/ liaising with the quality control department throughout the shift for any abnormal loss to be addressed or reported. 
  • Observing bins/line for an indication of higher than usual losses where applicable. 
  • Liaising/following up with supervisors regarding losses status or any other related losses.

4)      Coordinating with Production, Internal Customs and External Customs for Shipping Status on products.

5)      Assisting the Operations/Production manager on Admin duties, typing, sending out emails. etc...

6)     Assisting Operations/Production manager with shift roster printing, circulation, production schedules

7)      Preparing COA daily for all products produced for Exports or any other produce.

8)      Following up on all Purchase Orders to ensure Consumables and Raw Materials reach on time to avoid any form of           unnecessary Production downtime.

9)      Compilation of employee's time sheets (monthly & weekly) on a timely basis to be issued for payroll processing-

10)     Assisting with the Daily Production planning.

11)  Communicating with the Human Resource Department on a daily basis to ensure that any HR / manpower related             matters are handled and dealt with within a timely and efficient manner.

Required Education and Training:

  • Diploma/Certificate in Production Management or relevant discipline will be an asset.
  • Knowledge of GP Dynamics would be an asset
  • 5 CXC O’Levels including Mathematics & English.
  • At least 3 years' experience in a similar position would be an asset
  • Excellent oral & communication skills
  • Experience with MS Office suite especially Excel, Access and Power Point.
  • Good communication, analytical and time management skills.
  • Meeting stringent deadlines.
  • Supervisory skills.
  • High level of efficiency, precision, accuracy and follow-through.
  • Strong oral and written communication skills, interpersonal and leadership skills with the ability to communicate at all levels of the organization.
