Procurement Officer
Responsibilities:
Under the guidance of the Operations Manager, the Procurement Officer is responsible for managing the organization's procurement process, developing and implementing procurement strategies aligned with the Credit Union’s goals and ensuring the efficient acquisition of goods and services required for the Credit Union’s operations. This includes sourcing reliable suppliers, negotiating contracts, and maintaining vendor relationships while ensuring cost-effectiveness and compliance with the organization’s policies and procedures.
Duties:
a) Carry out procurement activities for stationery, office supplies, first aid and general maintenance supplies, office equipment and furniture while adhering to the Credit Union’s policies and procedures.
b) Assist in the development and management of the procurement budget, ensuring purchases align with financial constraints and organizational objectives.
c) Ensure that procurement activities comply with internal policies and ethical standards.
d) Monitor inventory levels regularly to ensure the continuous availability of required supplies.
e) Maintain accurate and up-to-date inventory records to support procurement planning and decision-making.
f) Establish reorder points for critical supplies based on consumption and lead times.
g) Provide monthly reports to the Operations Manager on procurement activities, cost savings opportunities and supplier performance.
h) Negotiate terms, pricing, and delivery timelines to secure advantageous agreements with suppliers.
i) Prepare and process purchase orders, requisitions, and other related procurement documentation.
j) Collaborate with the Finance Team to ensure timely payment of suppliers’ invoices.
k) Manage vendor contracts and resolve issues related to delivery, quality or invoicing.
l) Work closely with internal departments to understand procurement needs and priorities.
m) Escalate to the Operations Manager difficult matters or situations requiring resolution based on the impact, severity and time sensitivity.
n) Perform any other related duties as required to meet the department’s goals and objectives.
Qualifications and Experience:
· An Undergraduate Degree in Business Administration, Management Studies, Operations Management, or its equivalent from an accredited tertiary institution.
· Procurement related certification would be an asset.
· Minimum of two (2) years’ experience in similar capacity.
Working Conditions:
· Some mental pressure due to demand by management and staff.
· Normal working environment.
· May be required to work outside of normal working hours to resolve urgent procurement needs.
· Local travel as necessary to undertake official duties.
