Position Summary
The Procurement Officer is responsible for sourcing, purchasing, and coordinating the delivery of goods and services required by the company in a timely and cost-effective manner. The incumbent ensures that procurement activities are conducted in alignment with company policies, quality standards, and budgetary guidelines. The role involves supplier management, contract negotiation, inventory monitoring, and accurate record keeping to support operational efficiency and cost control. The role requires strong attention to detail, organization, and communication skills to help the company achieve cost-effective and timely procurement outcomes.
Key Responsibilities
Procurement & Purchasing
- Assist in sourcing suppliers and obtaining quotations for required goods and services.
- Process purchase requests and prepare purchase orders in accordance with company policies.
- Track and confirm deliveries to ensure accuracy and timeliness.
- Maintain accurate procurement records and documentation.
Supplier & Vendor Support
- Support the evaluation and onboarding of new suppliers.
- Communicate with suppliers to confirm orders, delivery timelines, and resolve issues.
- Assist in monitoring supplier performance against agreed standards.
Inventory & Cost Management
- Monitor stock levels in coordination with relevant departments.
- Report on shortages, usage trends, and potential cost-saving opportunities.
- Assist with ensuring purchases are aligned with budget and cost-control objectives.
- Assist with stock counts as assigned.
Compliance & Reporting
- Adhere to company procurement policies, ethical standards, and confidentiality requirements.
- Support internal audits by ensuring procurement files are accurate and up to date.
- Generate routine reports on purchases, costs, and supplier performance as required.
Key Performance Indicators (KPIs)
Performance will be measured against the following:
- Accuracy and timeliness of purchase orders and deliveries.
- Compliance with procurement policies and procedures.
- Effective coordination with suppliers and internal departments.
- Reduction in stock shortages and emergency purchases.
- Accuracy and completeness of procurement documentation and reports.
Qualifications and Skills
- Bachelor’s degree in Supply Chain, Business Administration, or a related field (or equivalent experience).
- Previous experience in procurement, purchasing, or supply chain
- Strong organizational and time-management skills.
- Effective communication and negotiation skills.
- Proficiency with Microsoft Office and inventory management systems.
- High level of integrity, professionalism, and attention to detail.
- Valid Jamaican Driver’s License
Working Conditions
- Standard office hours with occasional flexibility required for supplier or operational needs.
