Job Description:

The Portfolio Officer plays a crucial role in managing and optimizing the company’s billboard assets, ensuring they contribute to the company's financial objectives while mitigating risk and liabilities associated with the real estate transactions. This includes maintaining accurate and up-to-date records of the company's billboard portfolio in a digital format. Converting physical records related to the billboard portfolio into digital format for easier access and management. Generating weekly report on matter related to the management of the portfolio. 

 

Duties and Responsibilities:

  1. Process of site acquisition, retention or removal.
  2. Maintains all board files and records with optimum accuracy and professionalism.
  3. Visit all landlords at least once per year.
  4. Facilitate and secure all necessary variances and permits.
  5. Cultivate and maintain a professional relationship with all key regulatory and approval; granting bodies and parish personnel to planning, zoning, permitting and inspections. 
  6. Prepare landlord contracts and do payments.
  7. Monitor return of signed client and landlord contracts. 
  8. Maintain all lease files and records with optimum accuracy and professionalism.
  9. Oversee the collection of photos and on-going geo-tagging of boards.
  10. Track and submit payments and resolve any discrepancies for rental payment and permits. 
  11. Ensure that all proposed locations are photographed and shared with the Sales Department for addition to the available listing.
  12. Collecting information from the various departments and entering data into the central database; new installed images, location etc. 
  13. Monitor, Maintain and update the database system. Transferring physical recorded into digital filing system; contracts etc.
  14. Update billboard dockets with contracts, municipal and landlord fees images, maintenance, and damaged reports.
  15. Update of Landlord payments and schedule. 
  16. Send lease renewal or terminations at least 6 months before lease expiration. 
  17. Ensure lease obligations are filled, documentation and company issues are resolved.
  18. Maintain and update database with all JPS, NWC payment as it relates to the billboard/Video Board portfolio.
  19. Participate in quarterly audit of dockets.
  20. Compilation and monitoring of issues brought up in the Sign Repair Group 
  21. Monitor the ongoing maintenance of the portfolio and work with Production to ensure timely resolution of issues with the portfolio.
  22. Provide weekly reports to the Supervisor. 
  23. Complying with all company safety and personnel policies. 
  24. Any other duties. 

 

Skills and Qualification:

  • A minimum of a Bachelor's degree in Finance, Accounting, Business, Marketing, or Real Estate is required. 
  • Must possess a current and valid driver’s license preferably an "Open General " and a good driving record. 
  • Extensive understanding of real estate, with a proven track record of successful real estate transactions across multiple property types, is essential. 
  • Experience in property management/ leasing / operations if desirable; and finance or accounting experience may be required.
  • Experience in database management, financial analysis, and strong analytical skills 
  • Advance knowledge of Microsoft Office software, including Word, Excel, Projects, and Outlook are required.
  • Ability to do lease analysis, assess risks and make forecasts. 
  • Must possess strong verbal and written communication skills. 
  • Strong Interpersonal skills for establishing and building and maintaining relationships with relevant parties (Management, investors, property managers, landlords, etc.)
  • Strong organizational skills to effectively coordinate and manage multiple assignments, as well as prioritize tasks and efforts. 
  • Highly developed negotiation skills are required for negotiations with property owners, Municipalities, Government Agencies and service providers.
