Paralegal/Corporate Administrator

 

Primary Objective:

The Paralegal/Corporate Administrator will provide efficient and effective client‑relationship management while delivering strong support to Partners and Associates; with overall responsibility for maintaining corporate records, attending meetings, and taking minutes, coordinating entity filings, supporting transactional activities, and ensuring adherence to all statutory and regulatory requirements.

 

Summary of Main Duties:

Corporate Governance & Compliance

  • Client relationship management
  • Maintain and update corporate records.
  • Request, review, and manage KYC/AML documentation as required.
  • Draft meeting agendas, prepare and circulate notices of meetings and board packages, attend meetings, take, transcribe, and circulate draft minutes, and maintain both electronic and physical minutes book in an organized and secure manner.
  • Prepare documentation for statutory filings and effect filings within applicable deadlines.
  • Monitor statutory deadlines and ensure timely filings to maintain entity good standing.
  • Draft routine corporate resolutions, consents, and compliance documentation.
  • Transactional Support:
  • Assist attorneys on corporate matters and filings in relation to ongoing transactions as required.

Client & Internal Support

  • Serve as a key point of contact for clients regarding corporate filings, entity status, and general administrative matters.
  • Respond to client inquiries and provide updates on corporate matters.
  • Coordinate with government agencies, registries, and external corporate service providers.

Document & Records Management

  • Organize, maintain, and digitize corporate documents according to firm standards.
  • Maintain internal databases and track entity information.
  • Assist with secure storage and retrieval of corporate documents.

Administrative & Operational Duties

  • Support attorneys with correspondence and document preparation.
  • Accurate timekeeping and billing
  • Efficient matter management.
  • Prepare reports, summaries, and status updates for internal and client use as required.

Any other relevant duties assigned by management.

 

Qualifications and Skills required:

  • GradICSA or ACIS or equivalent qualification in corporate law, paralegal studies, or legal administration; alternatively, six CXC general proficiency certificates including English Language and Mathematics.
  • 3-5 years previous experience as a corporate administrator, paralegal, or legal assistant in a law firm or corporate department.
  • Strong knowledge of corporate procedures, entity formation, and regulatory compliance.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Training and experience in meeting preparation and minute taking.
  • Proficiency in Microsoft Office and legal practice management software.
