The Operations Assistant will provide essential facilities administrative support to the Operations Department, ensuring smooth daily operations and efficient coordination of tasks.

Job Purpose

 

The incumbent will provide effective operational and administrative support to the Operations Department by coordinating maintenance activities, maintaining accurate records, supervising ancillary staff, and supporting compliance efforts.

The Operations Assistant ensures that maintenance operations are organized, properly documented, and executed efficiently, contributing to reduced downtime, safe working conditions, and optimal performance of facilities and equipment.

Key Responsibilities

  • Serve as liaison between the maintenance & ancillary staff, contractors and other departments.
  • Respond to internal service requests and inquiries
  • Schedule meetings and maintain departmental calendars
  • Provide general administrative support to the Operations/Maintenance team.
  • Managing relationships with vendors and service providers
  • Monitoring and updating operational databases and records
  • Compiling data for performance reports and analysis
  • Maintain records of inspections, repairs, and equipment history
  • Ensure accurate filing of maintenance logs and service reports
  • Update asset registers and maintenance databases
  • Prepare and organize documentation for audits and reviews
  • Coordinate preventive and corrective maintenance activities
  • Assist in scheduling technicians and contractors
  • Follow up on pending or overdue maintenance tasks
  • Monitor inventory levels of spare parts, tools, and supplies
  • Assist with procurement requests and purchase orders
  • Coordinate with vendors and suppliers for parts and services
  • Maintain inventory records and stock control documentation
  • Generate reports on maintenance activities
  • Track downtime, response times, and completion rates
  • Assist in compiling monthly and quarterly operational reports
  • Support data analysis for continuous improvement initiatives
  • Track certifications, permits, and regulatory requirements
  • Support implementation of safety policies and procedures

 

Qualifications & Experience

  • Technical diploma or associate degree in Facilities Management, Engineering, Business Administration, or related field + 2 years’ experience in a similar role 
OR
  • High school diploma or equivalent required  3 years’ experience in a similar role.
