The Office Manager is responsible for overseeing the day-to-day administrative operations of the healthcare facility.
Administrative Oversight:
Supervise front desk operations, medical records, scheduling, and general office duties
Ensure accurate and timely patient registration, billing, and insurance processing
Maintain office supplies, inventory, and equipment servicing
Staff Supervision & Development:
Manage and support administrative staff, including receptionists, billing clerks, and records personnel
Oversee onboarding and training of new team members
Schedule staff, manage time-off requests, and ensure adequate coverage
Compliance & Quality Assurance:
Ensure adherence to health and safety regulations and patient confidentiality policies
Maintain accurate records in line with healthcare standards and facility protocols
Assist with internal audits and quality improvement initiatives
Financial & Operational Support:
Assist with budget tracking and cost control for administrative functions
Liaise with vendors, contractors, and service providers
Prepare operational reports and updates for management
Patient Experience & Communication:
Handle patient concerns and complaints professionally
Maintain a welcoming and efficient environment for patients and visitors
Coordinate communication between administrative staff, clinical teams, and management
Associate or Bachelor’s degree in Business Administration, Health Services Management, or related field
Minimum of 3–5 years of office management experience, preferably in a healthcare setting
Knowledge of healthcare regulations, medical terminology, and billing procedures
Proficient in Microsoft Office and experience with medical records systems
