The Meeting Services Coordinator will be responsible for working in collaboration with the Client to effectively provide ongoing support in the development and execution of in-person, hybrid, virtual programs and events using event related technology tools and platforms

OVERVIEW:

KPMG Jamaica has a delivery center named "Jamaica Extended Support Services (JESS)" operating from Kingston, which is contracted to provide office support to its member firm KPMG United States ("the Client").

 

JOB SUMMARY:

The Meeting Services Coordinator will be responsible for working in collaboration with the Client to effectively provide ongoing support in the development and execution of in-person, hybrid, virtual programs and events using event related technology tools and platforms. The Meeting Service Coordinator team members are responsible for performing various tasks in accordance with standard operating procedures provided by the Clients to include daily event management reporting, Lakehouse cross-checks for reservations, the generating of travel arrangements and supporting the transient programming by creating registration sites. 

 

JOB RESPONSIBILITIES

Service Delivery

  • Process cross-checks of data across Cvent, and Housing platforms to ensure accuracy and integrity of participant data.
  • Facilitate reservation/travel communications, edit communications as required, and manage relevant deadlines.
  • Act as primary contact to upload preliminary & final participant lists into Cvent, with other attendee management needs.
  • Collaborate to support process, timelines and expectations for Transient Meetings at Lakehouse.
  • Reviewing and delivering reports related to room attrition, reservation due dates and departures.
  • Collaborate and manage deliverables for fare cap approvals.
  • Act as MSA under low-complexity parameters, up to four (4) Lakehouse programs per month.

 

Stakeholder Relationship Management

  • Proactively identify and escalate issues in a timely manner
  • Cultivate productive relationships with Client
  • Effectively communicate with the Client to understand any changes to departmental processes

 

EDUCATION/EXPERIENCE

  • Minimum of 3 years of work experience preferably within a events and meetings team or professional services firm.
  • Bachelor’s degree or equivalent work experience
  • Strong communication, problem solving, and organizational skills to support an environment driven by client focus, teamwork and building productive relationships.
  • Event management systems (Cvent), event registration experience, and VBA development is a plus
  • Solid verbal/written communication, problem-solving and analytical skills
  • Ability to work independently and work well within a team.
  • Strong organizational and time management skills; ability to adhere to deadlines.
  • Proficient with Microsoft Office Suite applications including Word, and PowerPoint.
  • Highly proficient in Microsoft Office Suite applications including Excel and Outlook.
