The Pension Administration Manager is responsible for overseeing and managing all aspects of the company's pension plans.

JOB SUMMARY

 

The Pension Administration Manager is responsible for overseeing and managing all aspects of the company's pension plans. The incumbent is required to:

  • manage, administer and report on the performance of the Company’s pension plans in accordance with the Trust Deed and Rules.
  • assess the performance of the plans and make representations and recommendations in order to maintain or improve their efficiency, and effectiveness and to enhance the plans’ ability to respond to evolving customer needs and demands for service quality.

The role involves a combination of financial expertise, regulatory compliance, and effective communication with both employees and external stakeholders.

           KEY FUNCTIONS

Administration and Record-Keeping:

-       Manage the day-to-day administration of pension plans, including:

  • Enrollment documentation for the commencement of pension benefits for all new hires
  • Work with the relevant stakeholders to ensure the timely processing of all pension benefits.
  • Maintaining and backing up accurate records, processing contributions, managing distributions and verification of all pension benefit payments (jointly with a third-party pension administrative support vendor). 
  • Staying informed about changes in pension laws and regulations, adjusting plan administration accordingly.

 

Employee/Former Employee Communication:

-       Provide clear and concise communication to employees and former employees regarding pension plans, benefits, and related matters; Pension benefit inquiries, requests, and complaints to ensure quick, equitable and courteous resolution as per the plans’ Dispute Resolution Procedures.

Conduct educational sessions or workshops to assist employees in understanding their pension options, retirement          planning and smooth transitions for retiring employees.

Vendor Management:

Collaborate with external vendors to ensure the smooth operation of pension plans. These include but are not            limited to third-party pension administrative support vendors, actuaries, legal advisors and financial advisors.

Oversee the negotiation and management of contracts with service providers to optimize costs and services.

 

Reporting and Analysis:

Prepare regular reports, and draft correspondence for Senior Management, the Executive, The Board Of Directors, and other interested parties, on matters related to the pension plans.

Accountable for the preparation and maintenance of all submissions to the External Auditors, Trustees and Actuaries for IAS19 Financial Reports, actuarial valuations for the pension plans as well as for the Company’s Financial Accounts.

 

Management Committee:

Secretary Duties - To perform the duties of the Secretary of the Management Committees as per the Trust Deeds and Rules of the Plans, which include but are not limited to:

  • The implementation of all action items stipulated by the Committees.
  • Scheduling of quarterly Management Committee meetings, as well as quarterly meetings with the Trustees and Investment Managers.
  • Conducting elections for the appointment of the Members’ Representatives and Alternates to the Management Committees of the plans, whenever required according to the Trust Deeds and Rules of the Plans.
  • The development, maintenance and delivery of: Training material, manuals and seminars for all members of the plans, HR managers and team members on the processing of pension benefits; all pension-related communications to the relevant stakeholders; communication tools, inclusive of the Pension Administration System Website, and prepares the necessary monthly reports; KPI, metrics and related systems and tools to assess the performance of the Company’s pension plans and make recommendations to Trustees, Actuaries, Management Committee to help improve efficiency.

 

-       To manage and monitor assigned pension budgets.

 

 Workplace Safety - to lead a high-performance work team in employee care activities and ensure all work of the           section is completed safely, timely, accurately and in accordance with the Company’s established standards,       policies,and procedures.

 

Manage all pension-related projects undertaken by the Company.

 

To perform such other related duties as assigned by the Senior Manager from time to time.

 

Education & Experience:

 

  • A Bachelors’ degree in Management, Accounting, Finance, Actuarial Science or Law.
  • Advanced degree or professional certifications (e.g., CFA, CFP, or actuarial qualifications) will be an asset.
  • At least five (5) years’ experience in pension management, finance, or related roles; in-depth knowledge of pension regulations, investment strategies, and financial markets; experience in analyzing and interpreting legal documents such as Trust Deed and Rules, processing employee benefits or in the administration of employee pension contributions and/or processing beneficiary payments; experience involved in the strategic planning of benefits; experience with management of defined benefit pension plans.
  • Experience in an actuarial (pension) environment will be an asset.

 

KNOWLEDGE REQUIRED:

  • Knowledge of: Employee benefits administration; Pension, Trust, tax, and related law; Human Resources and Finance Information Technology Systems.
  • Accurately perform mathematical calculations using formulas; Develop and maintain a Pension Recording and Tracking System.
  • Excellent competency in the use of Microsoft Office suite with excellent capability in Excel.

NOTE: Any suitable combination of qualifications and experience at an appropriate level to competently perform required duties will be considered.
