We are seeking a highly organized and proactive Maintenance Coordinator to support our Facilities Maintenance team in ensuring smooth and efficient operations across all sites.

This role plays a key part in coordinating maintenance activities, managing inventory and assets, and responding promptly to maintenance requests. The ideal candidate will be detail-oriented, solution-focused, and committed to maintaining high operational standards.

About the Role:

The Maintenance Coordinator delivers administrative, operational, and inventory support to the Facilities Maintenance team, ensuring the smooth coordination of maintenance activities, accurate management of assets and inventory, and prompt handling of maintenance requests in line with company policies and procedures.

Key Functions

  • Provide comprehensive administrative support to the Head of Facilities Maintenance & Safety and Maintenance team, including managing correspondence, scheduling, and coordination of meetings and logistics
  • Maintain accurate records and documentation, track action items, manage maintenance help desk inquiries, and ensure proper filing and reporting systems are up to date
  • Support operational and financial administration by tracking expenses, managing petty cash, and maintaining records for company vehicles and departmental activities
  • Manage maintenance work orders by receiving, reviewing, processing, and ensuring timely follow-up, updates, and closure of all requests
  • Coordinate communication between restaurant managers and technicians, provide basic troubleshooting support, and track job progress within the system
  • Support maintenance operations through site visits, contractor verification, and preparation of performance and operational reports
  • Support spare parts inventory management by maintaining stock levels, receiving and verifying deliveries, and ensuring accurate documentation and system updates
  • Coordinate with Purchasing, Maintenance, and other departments to ensure timely sourcing and availability of parts for routine and urgent repairs
  • Issue, organize, and track parts and supplies while monitoring usage, reporting low stock levels, and assisting with inventory counts and reconciliations
  • Maintain accurate fixed asset records, including acquisition details, locations, and supporting documentation in line with company standards
  • Track and update all asset movements, including installation, transfer, and disposal of equipment within the asset register
  • Support inventory management through cycle counts, reconciliations, reporting, and compliance with asset control policies and procedures

 

  • Coordinate with internal departments and external stakeholders (e.g., landlords, airport authorities, and service providers) to support maintenance activities and site access
  • Support restaurant operations by ensuring timely resolution of maintenance issues and assisting with site walkthroughs, inspections, and project support activities
  • Deliver parts to technicians in the field as needed and contribute to a responsive, high-quality maintenance service culture
  • Ensure compliance with company policies, safety standards, and regulatory requirements (including OSH and HACCP).
  • Follow company guidelines related to equipment standards and facilities development.
  • Maintain clean, safe, and organized storage and work environments.

 

Our Ideal Candidate:

We are looking for someone who:

  • Is highly organized with strong attention to detail and the ability to manage multiple priorities effectively
  • Possess strong communication skills with the ability to liaise across teams, vendors, and external stakeholders
  • Is proficient in administrative systems, recordkeeping, and Microsoft Office applications
  • Is problem-solver with a proactive approach to identifying and resolving operational issues
  • Has experience in facilities, maintenance, inventory, or operations support is an asset

 

Qualifications & Experience: 

  • Bachelor’s degree in Business Administration, Facilities Management, Logistics, or a related field (preferred)
  • 2–4 years of experience in facilities, maintenance coordination, inventory control, or administrative support
  • Experience working in a fast-paced, multi-site operational environment is an asset (e.g., retail, hospitality, or QSR)
  • Strong working knowledge of Microsoft Office
  • Experience in inventory tracking, asset management, or vendor coordination preferred
