The Legal Administrative Assistant supports the Legal & Corporate Secretary by coordinating meetings, preparing documents, and maintaining records.

Responsibilities include coordinating meetings, transcribing board and committee minutes, preparing presentations and documents, maintaining corporate records, processing invoices, and providing general administrative support. The role requires strong organizational skills, attention to detail, discretion, and proficiency in the Microsoft Office Suite.

Success in this role is demonstrated through the timely coordination of meetings, accurate preparation of board minutes and legal documentation, well-organized corporate records, and efficient management of administrative processes that support the smooth operation of the Group Legal & Corporate Secretariat function.

Key Responsibilities

  • Coordinate board and committee meetings, including scheduling, preparing agendas, managing invitations, and confirming attendance.

  • Prepare and accurately transcribe board and committee meeting minutes.

  • Maintain organized records of board decisions, governance documents, and corporate records.

  • Manage the corporate compliance calendar and support statutory and regulatory filings.

  • Liaise with external service providers responsible for company registry filings.

  • Proofread, format, and prepare legal documents, contracts, and correspondence for review.

  • Maintain secure physical and digital filing systems for legal and corporate documents.

  • Manage incoming and outgoing invoices, including tracking approvals, dispatch, and payment follow-ups.

  • Prepare presentations, reports, and other documents using the Microsoft Office Suite.

  • Provide general administrative support to the Group Legal Services Manager and coordinate requests from internal departments.


What We’re Looking For

  • Diploma or Certificate in Business Administration, Legal Studies, Paralegal Studies, or a related field.

  • Minimum of 3–5 years’ experience in an administrative or legal administrative role.

  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).

  • Excellent written communication and minute-taking skills.

  • High level of accuracy, organization, and attention to detail.

  • Ability to handle confidential information with discretion.

  • Strong coordination and time-management skills with the ability to manage multiple priorities.
