Job Title:  Sales & Distribution Administrator 

 

 

Primary objective of the job:

  • Holistic Administrative Support for all areas of the Sales & Distribution Department to ensure its efficiency, productivity and effectiveness.
  • Creative and thorough communication to both the Department and Retail Channel, ensuring timeliness and accuracy. 
  • Accurate generation of sales reports for comparison against targets, and timely delivery to relevant stakeholders.
  • Comprehensive online support for Department and Retail Channel.
  • Drive Department engagement initiatives from planning through to execution

 

 

Main Duties & Responsibilities:

  • Creatively communicate bulletins to all Dealers; including, but not limited to, Sales Promotions, Incentives and Price Changes.
  • Closely monitor all Dealer Communication and Dealer Support mailboxes and respond to/escalate Dealer queries as necessary.
  • Maintenance of Dealer Extranet through the timely upload of bulletins and the creation/ deactivation of Sales Professionals’ user profiles as directed.
  • Tracking and filing of all Department documents/correspondences and updating individual Dealer folders on shared drive as required along with an updated registry.
  • Regular update of Dealer Contact Groups to facilitate joiners and leavers.
  • Preparation/analysis of weekly/monthly sales reports.
  • Completion and submission of Department Overtime statements to all pertinent stakeholders for review and processing, ensuring stipulated deadlines are observed.
  • Monthly completion and circulation of employee absence schedule to Department Managers and Supervisors.
  • Submission of, or provision of guidance for, expense claims, petty cash and other forms, for timely processing by the Finance Team.
  • Generation of Purchase Orders to support all proposed purchases.
  • Receipting and submitting Department invoices to facilitate timely vendor payments.
  • Coordinate the distribution or collection of items for the department.
  • Ensure smooth and efficient operation of the Department by maintaining adequate stationery supply.
  • Other duties as assigned or as may be necessary from time to time.

 

 

Academic Qualifications and Experience Required:

  • Diploma in Secretarial Studies
  • Intermediate in Microsoft Word, Excel, PowerPoint and Outlook
  • Training for Administrators

  • Excellent writing & communication skills
  • Detail oriented
  • Excellent Interpersonal Skills
  • Ability to work efficiently under pressure
