To provide confidential administrative support and contribute to the overall efficiency and effectiveness of the Department.
General Functions:
• Prepares correspondences on behalf of Plant Manager – Memos, Letters, Reports, Spreadsheets
• Prepares letters to employees and work with Supervisors to ensure that they are distributed on time – Job letters,
disciplinary letters etc.
• Maintains records of disciplinary matters.
• Arranges meetings and corresponds with Supervisors as directed by Plant Manager.
• Liaise with Supervisors to make arrangements for plant employees to meet with the Plant Manager and HR department as requested.
• Orders stationery requirements for SSL Production including plant and office.
• Ensures employee files are kept current and the filing system is maintained.
• Assists with the administration of the Group Benefits Plans.
• Assists with the completion of NIS forms.
• Reviews medical claim forms, submits to the insurance company, and follow up on outstanding claims.
• Records and updates monthly staff vacation leave, attendance, and punctuality records.
• Manages bookings for the Meeting Room.
• Distributes petty cash and prepares reimbursements daily.
Education and Skills
- Five (5) CXC or CSEC General level subjects inclusive of Mathematics and English Language
- A Diploma in Business Administration
- Proven experience of at least two (2) years as an Administrative Assistant or in a similar role supporting senior
management.
- Proficiency in Microsoft Office Suite especially MS Word and MS Excel.
- Ability to draft correspondence such as memoranda and letters
- Confidential and has a high level of integrity
- Excellent communication and time management skills.
- Excellent verbal and written communication skills.
- Ability to operate in a fast-paced, performance-driven environment
