Position Overview

 

 

The Company operates in a fast-paced, results-driven, and customer service-oriented environment that is focused on consistently delivering efficient and high-quality services. The position holder will work directly with the Director of Marketing & Client Services to assist with administrative functions, provide client support, and oversee special projects.

The Client Services Associate will be responsible for assisting with all activities in support of the role and function of the Company’s Marketing & Client Services Department while maintaining confidential matters with discretion. The position holder will play a critical role in sales support and developing the company’s Global brand and managing prospects and client relationships.

 

 

Duties and Responsibilities

 

Sales Support

  1. Implements and maintains client tracking and monitoring systems.
  2. Pursues and monitors new and existing business leads such as maintaining documentation of all requests.
  3. Plans, coordinates, and supports meetings with prospects and clients including but not limited to, scheduling calendars, initiating meetings, minute and note taking, preparing internal notes, agendas, briefs, and other related documentation.
  4. Researches, prioritizes and follows up on potential or existing issues and concerns.

Documentation Management

  1. Prepares, edits, reviews, proofreads, and coordinates the distribution of documents such as proposals, contracts, agreements, and other related business documents.
  2. Manages up-to-date and accurate record-keeping in alignment with the Company’s record management systems and procedures.

Client Management

  1. Builds and sustains connections with clients and partners – maintaining communication to promote engagement and provide support services such as sending materials.
  2. Manages, tracks, and documents the client onboarding process.
  3. Leads and supports onboarding client meetings between clients and the operations team.
  4. Prepares and conducts presentations in support of client onboarding such as PowerPoint deck.
  5. Liaises with the client and the operations team to ensure all requirements are completed and tracked via checklists.
  6. Assists with all client requests including but not limited to Due Diligence Questionnaires (DDQ) or Request for Information (RFI) reports.

Project Management

  1. Maintains and disseminates daily priority lists for the sales and client services team.
  2. Collaborate with various teams to ensure daily marketing operations and activities (social media, Google, SEO, etc.) are accurate, up-to-date, and on schedule.
  3. Work with the legal team on special projects (e.g., trademarking, fund formation documents, contract language adjustments, etc.)

 

 

Education and Experience

 

  • Bachelor’s degree in business management administration or equivalent.
  • At least two (2) years of experience in financial services and/or professional services.
  • At least one (1) year of experience in customer relationship management (CRM).
  • Proficient in Microsoft Office – Word, Excel, PowerPoint, SharePoint; Dropbox; eSignature Platforms.
  • Knowledge of financial services products - hedge funds, private equity funds, venture capital funds, real estate funds, cryptocurrency, DeFi, NFTs, and blockchain would be an asset.
  • Knowledge of PandaDoc will be an asset for this role.

  • Excellent organizational skills and attention to detail with a focus on accuracy and reliability.
  • Proven ability to manage confidential information with discretion and demonstrate the highest level of client service.
  • Excellent time management skills with a proven ability to seamlessly manage multiple projects simultaneously and meet deadlines.
  • Demonstrated proactive approaches to problem-solving, critical thinking, and analytical skills.
  • Ability to function under pressure independently and as a collaborative team member.
  • Ability to positively influence stakeholder dynamics, serving as an ambassador to Stonegate Global.
  • Experience with Padadocs will be an asset.
