The Assistant Accountant provides support in month-end accounting transactions and closure of financial statements to ensure accounts are updated in an accurate and timely manner.

The Assistant Accountant provides support in month-end accounting transactions and closure of financial statements to ensure accounts are updated in an accurate and timely manner.

 

Job Description: 

  • Ensure sales volumes and actual vs budgeted figures are updated daily and analysed monthly.
  • Assists warehouse with daily sales on a timely basis and advises the Area Managers on collection of route delivery accounts that are past due.
  • Ensures that all AR and Sales controls are adhered to including ensuring that all credits are keyed within one day of receiving same and sent to the customer as well as ensuring that local sales are closed off by 10:00am on the first working day of the month.
  • Review customer accounts for overdue and over limits on a daily basis, advises Area Managers and Finance Manager on all overdue accounts, advises relevant parties (Inventory Department etc.) to stop deliveries (where applicable) and ensures that company policies are adhered to, and all accounts are kept within the credit terms etc.
  • Ensures that all creditors are paid as and when they are due and there are no outstanding overdue balances in the accounts.
  • Ensure that all cheques are accurately prepared, packaged and coordinated for delivery to vendors.
  • Ensures that all rebates are correctly calculated, and correctly applied by the end of the first working day of the month.
  • Performs/reviews monthly GL reconciliations on various accounts, including Cash Clearing, Other Payables and Drivers Accounts by the 10th of each month and/or the fourth working day of the following month (as required) and ensures all unreconciled items are cleared .
  • Reviews Return Cheque listing with receipts, returns received cheques daily and updates report as needed to advise Sales Representatives and Area Managers on subsequent collection on a timely basis.
  • Ensures that all group confirmations are received and filed monthly, investigates all reconciling items and ensures agreement between group accounts on a monthly basis to facilitate consolidated account process.
  • Refers all overdue Group Accounts to Head Office in accordance with Group policy.
  • Reconciles Inventory Sub-ledger to General Ledger and perform inventory close-off procedures.
  • Manages payroll activities and payments of monthly statutory commitments as and when they become due.
  • Prepares monthly bank reconciliations by fourth working day and ensures that all unreconciled items are investigated and cleared.
  • Ensure all financial reports are prepared and analyzed to provide information for the preparation of management accounts and other monthly and quarterly reports.
  • Assists with the Audit schedule including participating in interim and annual audits as required.
  • Ensures that work areas are maintained in accordance with good housekeeping and safety practices.
  • Supervises subordinate staff by ensuring that principal duties are completed in a timely manner, providing guidance, direction, coaching and overseeing development and achievement of objectives.
  • Performs any other related duties required by the job function.

 

Education and Experience Requirements:

  • Minimum of five (5) O’ Level subjects, including Mathematics and English or A’ Level subjects, including Accounting.
  • ACCA Level 2 or equivalent examinations at a recognized institution.
  • At least three (3) years accounting experience.
  • At least one (1) year supervisory experience.
  • Equivalent combination of education and experience.
  • Pursuing ACCA Level 3 would be an asset.
  • Proficient in accounting principles.
  • Proficient in Microsoft Office Suite and any other relevant software.
