Assistant Purchasing Manager

Mission of the workplace: to assist to manage the purchasing process through purchasing procedures and policies established by the company.

Hierarchical Dependency:  Purchasing Manager

PROFILE REQUIREMENTS

Studies (specify if there are legal requirements for the exercise of the position):

  • Bachelor's degree in business administration, marketing, economics  or international trade.

Experience and technical knowledge:

  • 5 years of experience in the purchasing department.
  • Knowledge in quotes, issuance of purchase orders  and invoicing.
  • Dealing with suppliers, credit negotiation, knowing the purchasing process.
  • Knowledge in Office.
  • Fluent level  of English.

 

Other desirable (non-essential) requirements:

  • Ease of expression.
  • Management or knowledge of SAP.
  • Capacity for persuasion.

FUNCTIONS AND MAIN TASKS OF THE POST

  • Update the supplier catalog to improve the current ones.
  • Attend courses, congresses, seminars, exhibitions and other events that support their training and development of their function.
  • Attend the meetings organized by the departments for verification of the quality of products and work team.
  • Authorize purchase orders.
  • Authorize general payments (stable merchandise and product or higher consumption).
  • Authorize modifications and cancellations of the orders placed and make their notification to the areas involved.
  • Authorize permits, vacations and low re-entry, according to the needs of operation in the department.
  • Train the collaborators in their charge in the activities of their function.
  • Train new staff only on matters of great importance.
  • Always have a catalog of suppliers and articles, to know the differentiations of price and quality.
  • Give support to other hotels of the same chain.
  • Follow up in 2B END of the orders to be made.
  • Prepare and review the department's spending budgets.
  • Establish purchasing procedures and policies, in accordance with the company's operating conditions.
  • Objectively evaluate your employees according to their performance.
  • Keep track of the digital catalogs of suppliers and items within the SAP system.
  • Achieve close communication between collaborators and departmental heads.
  • Maintain the lowest possible inventories, but sufficiently to satisfactorily supply production needs.
  • Provide the general management and the accountant with the purchase reports that are requested.
  • Conduct technical interviews with candidates to fill department vacancies.
  • Place orders with suppliers.
  • Perform personnel requisitions in a format for sending to HR.
  • Select suppliers in coordination with the purchasing assistants, according to the following characteristics: quality, low price, good service and better payment facilities.
  • Be responsible for the purchases of food, beverages, supplies and maintenance spare parts.
  • Request quotes from suppliers.
  • Supervise the work of the collaborators in their charge.
  • Supervise direct purchases made by the driver.
  • Turn to Human Resources to personnel who do not comply with the regulations and policies of the company.
  • Check the list of fruit and vegetable prices with current quotes.
  • Verify in coordination with the departmental heads, the maximum and minimum stocks, as well as the rotation of goods.
  • Verify in the SAP and through a physical invoice that the purchases are being real.
  • Verify in the physical invoices the purchases received from repairs of work equipment.
  • Verify that the procedures to be followed when making purchases are being carried out.
