Inventory Officer

 

JOB SUMMARY

The primary objective of the incumbent is to ensure that the company’s assets are safeguarded and that all applicable inventory control regulations and company procedures are followed. This includes conducting daily inventory transactions and monitoring warehouse operations to ensure that physical stock movement aligns with the inventory accounting system. The role also involves performing daily spot counts and reporting any discrepancies to the supervisor.

 KEY RESPONSIBILITIES:

  • Generate reports related to inventory adjustments, transfers, and write-off for approval by the Inventory Controller.
  • Prepare product costing for approval by the Inventory Controller and update the accounting system with the approved product cost.
  • Monitor inventory-related general ledger accounts monthly (e.g., inventory loan, damages, short shipments) and ensure discrepancies are addressed promptly.
  • Check and monitor approved inventory movements using Oracle.
  • Review inventory transactions and assist with reconciliations.
  • Verify and ensure the timely removal of expired items from the system.
  • Conduct daily checks to ensure that stock transfers between various inventory codes on request are done accurately and efficiently, once entry is carried out by Warehouse Personnel.
  • Check all inventory returns daily to confirm the correct products and quantities are recorded in the system after Customer Service processes credit notes and updates are made by the Warehouse.
  • Conduct random checks on receival/truck loading processes and document any inconsistencies.
  • Reconcile the daily receipt of goods/items into inventory as handled by Warehouse Personnel.
  • Perform cycle counts and spot checks on selected items weekly and monthly.
  • Participate in reconciling physical stock with system records.
  • Analyze weekly orders from the Commissary Cashier to ensure optimal replenishment and submit orders for approval by the Inventory Controller and Finance Manager.
  • Update the Penny Lane system used at the Commissary with weekly invoice receipts.
  • Supervise and participate in weekly stock counts, update the system with results, and prepare variance reports.
  • Collect, reconcile, and lodge weekly Commissary sales; prepare and submit reports (invoices, stock adjustments, and sales lodgements) for approval by the Inventory Officer.
  • Prepare audit schedules for assigned inventory-related accounts for approval.

 MINIMUM REQUIRED QUALIFICATIONS AND EXPERIENCE:

  • Diploma in Accounting or Inventory Management with at least two (2) years of relevant work experience; or
  • ACCA Level II with up to two (2) years of experience as an Inventory Officer or Accounting Officer.

 KNOWLEDGE, SKILLS, AND COMPETENCIES:

  • Proficient in Oracle and Microsoft Excel
  • Strong analytical skills, with the ability to perform inventory and accounting reconciliations
  • Good customer service and interpersonal skills
