The Inventory Coordinator is assigned to the on-site Warehouse and is responsible for maintaining records of materials in inventory and on order.
This individual will monitor reordering points and initiate action to replenish stock. Reconciles discrepancies in inventories and notifies The Purchasing & Warehousing Manager of irregularities. To be flexible in assisting other team members as needed.
ESSENTIAL FUNCTIONS:
Organize and maintain the on-site Warehouse and any other outdoor designated storage spaces;
Monitors and maintains current inventory levels;
Receives, unpacks, and delivers goods; re-stocks items as necessary; labels shelves;
Ensure materials are properly labelled and accessible;
Ensure deliveries received corresponds with the related or supporting Purchase Order (PO);
Check order confirmations for accuracy against original PO. Notify vendor, Supervisor, Accounting Clerk and PM of inaccuracies when found;
Thoroughly inspect items for defects/damages and return same to suppliers. Quantity returned should be noted on the delivery slip and signed by both supplier and Inventory Coordinator;
Record all damaged goods and make adjustment in inventory system. Arrange for the storage/return of damaged goods in appropriate bin location;
Process and document returns as required following established procedures;
Monitor the daily issuing of material and ensure that all Gate Passes are signed and dated;
Maintain the stock receipts/issues inventory system with high quality for audit purposes.
Perform routine physical count of inventory, report/communicate and reconcile variances;
Determine the re-order level of each material and send requests in a timely manner;
Order materials using requisitions;
Create and maintain an effective filing system;
Update Material On Site (MOS) report twice per month;
Submit MOS Report to Quantity Surveyor, when requested;
Track all material purchases and services for the project;
Timely issue inventory in Timberline and prepare batch report along with supporting gate passes for posting.
Performs miscellaneous job-related duties as assigned.
Assumes responsibility for ensuring that work area is clean, secure, well-maintained and for completing special projects and miscellaneous assignments as required.
Ensure that all safety procedures within the Warehouse and storage spaces are adhered to;

QUALIFICATIONS/SKILLS:
Knowledge of supplies, equipment, and/or services ordering and inventory control.
Ability to reconcile stock counts to report data.
Ability to analyze and solve problems.
Attentive to detail, accurate and well organized.
Ability to prepare routine administrative paperwork.
Ability to receive, stock, and/or deliver goods.
Cooperative and willing to assist others and work in a team environment.
Ability to communicate effectively both verbally and in writing in a professional manner.

Clerical, word processing, excel and/or office skills.
Ability to learn the use of construction software such as Timberline or others.
EDUCATION AND WORK EXPERIENCE:
Diploma in Logistics, Operations Management, or equivalent
Certificate in Inventory Control or Records Management would be an asset
Basic proficiency in Microsoft Excel and working knowledge of Accounting & Inventory Management Systems
At least 2 years’ experience working in an inventory related field
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
TRAVEL REQUIRMENTS:
Infrequent travel may be required on a project to project basis.
