The Office Administrator (OA) is primarily responsible for coordinating the daily administrative activities to ensure the smooth and efficient operation of the offices at Devon House Development Limited.

  • Managed OSHA and RIM programmes
  • Office maintenance

 

KEY DUTIES AND RESPONSIBILITIES

  • Prepare and maintain payment records for all utility services
  • Order, maintain and distribute stationary, office furniture and equipment, uniform and safety gears
  • Manages the commissioning of minor repairs to office furniture in accordance with the designated procedures
  • Order, maintain and distribute information and communication technology equipment including telephones, laptops and CUGs
  • Ensure public liability and general insurance policies are implemented
  • Identify, assess and eliminate hazardous elements within the working environment
  • Ensure staff training, participation and compliance with OSHA Policy

AUTHORITIES

  • Recommends leave, promotions, disciplinary actions and acting assignments for direct reports.
  • Certifies invoices that goods, services etc have been supplied to the company at the required standard.

 

SPECIAL CONDITIONS ASSOCIATED WITH JOB 

  • Will be required to work outside of the designated work hours.
  • Giving support at an event maybe required from time to time.

 

PERFORMANCE CRITERIA

  • Reports submitted within the specified timeframe and at the agreed standard
  • Workplans are prepared, discussed and agreed upon with direct reports at the beginning of the assessment period
  • All matters relating to direct reports are delt with within the specified time period
  • Utility records are up to date and there are no disruptions resulting from payment instruction not getting to Finance on time 

KNOWLEDGE, ABILITIES AND SKILLS

The post-holder will be able to demonstrate:

TECHNICAL

  • Knowledge of office management principles, practices and procedures.
  • Working knowledge of the FAA and the PBMA Acts.
  • Proficient in the relevant computer applications     

 

MINIMUM EDUCATION AND EXPEREINCE

  • Bachelor’s Degree: Management Studies, Accounting, Business Administration, Public Administration, Public Sector Management, Economics, or any other related field.
  • Experience in related field:  3 years

OR

  • Diploma in Business Administration, Accounting or any other related field   
  • Experience in related field:  5 years
