The HRIS Implementation Coordinator is responsible for leading the end-to-end implementation and adoption of the HRIS system, ensuring HR processes, data, and workflows are effectively configured to support both strategic and operational needs.
Lead the full lifecycle implementation of the greytHR system, from project initiation and planning through go-live and post-implementation stabilization.
Develop, maintain, and manage a structured project plan aligned with internationally recognized project management standards.
Coordinate cross-functional internal stakeholders (HR, Payroll, IT, Finance, Operations) and external vendors to deliver agreed scope, timelines, and quality standards.
Monitor milestones, deliverables, dependencies, risks, and mitigation plans; proactively escalate issues where required.
Ensure formal documentation, approvals, testing sign-offs, and governance controls are completed at each stage of the implementation lifecycle.
Review, validate, and support the development of end-to-end process maps across HR, payroll, training, performance management, and the full employee lifecycle.
Translate business and operational requirements into HRIS system workflows, configurations, and functional specifications.
Apply strong knowledge of enterprise systems and HRIS architecture to design scalable, efficient, and future-ready solutions.
Align organizational policies, statutory requirements, and HR best practices with HRIS system configuration.
Drive continuous improvement of HR processes through system optimization, automation, and enhancement initiatives.
Execute a structured change management and communication plan to support smooth HRIS adoption across the organization.
Conduct stakeholder impact and readiness assessments to identify adoption risks and mitigation strategies.
Develop and coordinate training programs, user guides, and support materials for managers, supervisors, and employees.
Provide post-go-live coaching, system support, and reinforcement to ensure sustained usage and capability.
Act as a change champion, promoting consistent, effective, and compliant use of the HRIS.
Lead HR data migration activities, including data cleansing, validation, reconciliation, and system testing.
Ensure the accuracy, confidentiality, integrity, and security of all employee records.
Establish and maintain HR data governance, records management, and system access control standards.
Design, develop, and maintain dashboards, reports, and analytics to support workforce insights, statutory compliance, and leadership decision-making.
Support internal and external audits, reporting requirements, and compliance reviews related to HR data and HRIS systems.
Bachelor’s degree in Human Resources, Information Systems, Business Management, or a related field.
Minimum of 5 years experience in HRIS implementation, enterprise systems, HR transformation, or related project-based roles.
Professional certification in Project Management (e.g., PMP, PRINCE2) and/or Change Management (e.g., Prosci, ADKAR) would be an asset.
