This is a critical and highly trusted role, acting as the chief of staff and operational linchpin for the Group Executive Chairman and the fledgling group. This is not a traditional administrative role; it is a strategic partnership position designed to ensure the Chairman’s effectiveness and to establish robust operational and administrative systems across the portfolio. The successful candidate will be a proactive, highly organized, and resourceful individual who can operate with extreme discretion, manage complex priorities, cultivate favorable relations with internal and external stakeholders and build structure from the ground up.
Core Duties & Responsibilities
1. Executive Support in the Office of the Chairman:
- Provide comprehensive, high-level executive support to the Group Executive Chairman, acting as a gatekeeper, strategist, and proxy.
- Manage the Chairman’s complex calendar, email inbox, travel arrangements, and communications with utmost efficiency and discretion.
- Prepare and edit correspondence, communications, presentations, and other documents on behalf of the Chairman.
- Serve as the primary point of contact between the Chairman and internal/external stakeholders, including investors, board members, and senior leaders of portfolio companies.
- Draft written messages requested of the Group Executive Chairman by internal or external stakeholder organizations;
- Research and assist the Group Executive Chairman in developing oral presentations for upcoming meetings and events;
- Communicate directly, on behalf of the Group Executive Chairman, with board members, CEO’s and team members of group companies and other stakeholders on a wide range of matters;
- Follow up on issues being dealt with by the Group Executive Chairman, employing the highest level of confidentiality and professionalism to determine and undertake the most appropriate action;
- Maintain keen interest in the affairs of group companies and in the prevailing competitive and economic environments in which they operate, keeping the Group Executive Chairman updated on internal and external matters of strategic importance to the organization;
- Attend key meetings, capture action items, and ensure follow-through on decisions made by the Chairman.
2. Group Operational Management & Governance:
- Establish and manage the group’s central administrative functions, creating scalable processes for the entire portfolio.
- Organize and facilitate key group-level meetings. This includes preparing agendas, compiling pre-read materials, taking minutes, and tracking action items.
- Oversee group-wide projects and initiatives as directed by the Chairman, ensuring alignment and progress across different entities.
- Help develop and implement group-wide policies, procedures, and systems to improve efficiency and ensure consistency.
3. Strategic Planning & Analysis:
- Conduct research, compile data, and prepare reports and briefs for the Chairman to aid in strategic decision-making, investment analysis, and operational reviews.
- Monitor and track the performance of key strategic initiatives and key performance indicators (KPIs) across the group.
- Act as a sounding board and strategic advisor to the Chairman, offering insights and perspectives on operational and business matters.
4. Communication & Relationship Management:
- Draft and disseminate internal and external communications on behalf of the group and the Chairman.
- Build and maintain strong relationships with the leadership teams of all portfolio companies to ensure smooth communication and execution of group strategy.
- Work closely with the Marketing executives to build and maintain a favourable corporate image and reputation;
- Assists the Group Executive Chairman with managing external responsibilities such as participation in external boards, industry associations and social or community organizations.
- Represent the group and the Chairman’s office with professionalism and poise.
5. Office & Special Projects Management:
- Potentially manage the group’s head office operations, including facilities, supplies, and support staff.
- Lead or contribute to special projects, which may include M&A integration support, new venture setup, or event planning.
Job Specifications
Qualifications and Experience
- Graduate degree in Business Administration, Management, or a related field.
- At least ten (10) years of experience in a similar role, such as Chief of Staff, Senior Executive Assistant, or Office Manager, supporting C-level executives (preferably a Founder/Chairman/CEO).
- Proven experience in a start-up, high-growth environment. Must be comfortable with ambiguity and building processes from scratch.
- Exceptional project management skills with a demonstrated ability to lead complex initiatives to completion.
