The Office of Procurement Regulation (OPR) invites applications from suitably qualified professionals for the role of Graduate Intern (Corporate Communications), on contract.

The Graduate Intern (Corporate Communications) supports the implementation of internal and external communication initiatives which in turn contributes to the increased visibility and understanding of the Office of the Procurement Regulation’s vision and purpose. The position is responsible for assisting with advancing the brand identity of the Office of the Procurement Regulation, broadening awareness of its programmes and priorities, and increasing the impact and knowledge of its programmes across key stakeholder audiences.

Minimum Education Required:

  •  Bachelor’s Degree in Communications, Public Relations, Marketing or a related field.
  • Training in graphic design, photography, videography, event management, social media marketing and corporate communications.
  • Certificate in Graphic Design would be an asset

Minimum Eexperience Required:

  • 1 - 2 years’ experience in events management, social media marketing or corporate communications.
Responsibilities include:

Monitors media databases, publications and websites

  • Monitors diverse media sources and reports based on established media reporting frameworks
  • Cuts, scans and collates articles or advertisements from newspapers
  • Updates the Media Monitoring Summary Report by compiling collected data and submits to Supervisor for approval
  • Uploads the approved report and scanned files to the intranet

 Supports the execution of internal and external events

  • Meets with event teams to develop ideas and determine the logistics required for hosting an event
  • Develops draft proposals for submission to the Supervisor for review and approval
  • Attends event meetings for assignment of roles and responsibilities
  • Sources and manages suppliers for each event
  • Creates and submits memos or documents for approval by Supervisor to execute events
  • Coordinates the set up of each event (e.g. decorating, moving of items etc.)
  • Engages with internal and external stakeholders for effective customer service (e.g. distribution of items, escorting patrons, answering queries, issuing feedback survey instruments, moderating etc.)
Supports the execution of public information campaigns
  • Liaises with the Head, Corporate Communications and other departments to receive creative briefs for campaigns to guide the gathering of relevant content
  • Provides support to suppliers who contribute to the campaign by answering queries, and collecting invoices for processing
  • Assists with monitoring feedback on conducted campaigns by issuing surveys

Supports with the procurement of resources for the department

  • Creates purchase requisitions and requests approval from the Finance department
  • Edits and distributes Request for Quotations (RFQs) and Request for Invitations (RFIs)
  • Manages suppliers throughout the procurement process
  • Collects and reviews invoices for the relevant signatures and approvals before submission to Finance for payment

Provides general communication support

  • Supports monitoring and evaluation of OPR’s branding and key corporate messages
  • Provides design, videography and photography support to departments across the OPR as instructed by the Supervisor
  • Updates intranet, website and social media accounts
  • Conducts surveys, compiles FAQs, comments and feedback received for reports and other purposes
  • Supports with the development of OPR’s newsletter (e.g. sourcing all important events and information for period, writing and designing articles for newsletter, editing same based on supervisor comments/approval, and distributing via email to all stakeholders
  • Assists development of content by researching ideas, creating design templates, and sends for relevant approval before distribution via the relevant channel
  • Supports with the planning and implementation of internal communication strategies
