Job Summary
We are looking for a highly proactive Executive Assistant with a minimum of 5 years of experience and a strong professional background. The successful candidate will provide strategic administrative leadership, manage the Executive Office’s operations, and ensure that all corporate communications and scheduling meet the highest standards of efficiency and discretion. This is a senior-level support role requiring a deep understanding of corporate governance, project coordination, and the fast-paced nature of the Jamaican business industry.
Executive Operations: Plan, coordinate, and oversee the Executive’s daily schedule and long-term commitments to ensure a seamless workflow.
Strategic Correspondence: Conduct detailed review and drafting of high-level reports, board presentations, and sensitive communications.
Liaison Management: Act as the primary point of contact between the Executive and internal/external stakeholders, including government bodies and project partners.
Regulatory & Board Support: Ensure all executive actions and corporate filings comply with local business regulations and internal governance standards.
Budget & Resource Oversight: Manage the Executive Office budget, track departmental expenses, and oversee procurement for executive-led initiatives.
Project Tracking: Supervise the progress of key administrative projects, providing status updates and ensuring deadlines are met across the management team.
Information Analysis: Conduct preliminary research and feasibility reviews on incoming proposals to assist the Executive in decision-making.
Education: A Bachelor’s degree in Business Administration, Management, or a related field is required. Professional certification (e.g., CAP, CEAP) is highly preferred.
Experience: A minimum of 5 years of progressive post-qualification experience in high-level executive support, preferably within the construction or engineering sectors.
Technical Skills: Advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook) and project management software (e.g., Asana, Trello).
Industry Knowledge: Strong working knowledge of corporate protocols, contract administration basics, and Jamaican business landscape.
Communication: Exceptional verbal and written command of English; ability to interface with high-profile clients and government officials.
