Major Responsibilities:

The Executive Assistant’s responsibility is to ensure the smooth running of the Executive Office and all personnel functions relating to the Executive Office, providing high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

This is achieved specifically via the following:

  • Performing administrative/secretarial duties relating to the Chief Executive Office to include typing of: reports, coordination of appointments, meetings, interviews etc.
  • Handling routine correspondence and drafting response
  • Handle all personal matters for the Chief Executive Officer
  • Routing incoming and outgoing mail
  • Taking minutes at Management Meetings and ensuring that these are circulated accordingly and follow-ups done and any other meetings as required.
  • Maintenance of a current filing system duly labeled and stored for the Executive Office.
  • To form the lead on planning the customer appreciation days in conjunction with the     General Sales Manager.
  • Meeting with individuals, special interest groups and others on behalf of executives, committees and boards of directors when required.
  • Ensuring that all materials are available for the smooth operation of the offices of the Chief Executive Officer.
  • Assist with coordinating workshops/training, etc. as required in conjunction with the HR Office.
  • Any other function(s) that may be required from time to time.

Job Qualifications:

  • Tertiary level education, specializing in Business Administration.
  • Ability to gather data, compile information, and prepare reports.
  • Ability to lead and train staff by example.
  • Records maintenance skills.
  • Ability to analyze and solve problems.
  • Ability to gather and analyze statistical data and generate reports.
  • Receptionist skills.
  • Organizing and coordinating skills.
  • Ability to maintain calendars and schedule appointments.
  • Ability to record and transcribe meeting minutes.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to make administrative/procedural decisions and judgments.
  • Ability to create, compose and edit written materials.
  • Internal tracking of documents and making travel and lodging arrangements


    Experience:
  • A minimum of four (4) years in the field at a supervisory level is required.
